You’ll get to:
Have an impact on a little person (and their big people’s) lives. Your role is fundamental, as you are the child’s first touchpoint with TalkHQ. You will be the backbone of TalkHQ – we can’t function without you!!
Welcoming new clients to our service, booking new clients, managing our priority lists, rescheduling existing clients and supporting the team will be what you will spend a lot of your time perfecting.
You will also be involved in the account management side of the business for NDIS (that is, National Disability Insurance Scheme) clients and private-paying clients.
When we said earlier about being the backbone, we really mean it…You will play a vital role in the smooth running of a very busy speech pathology practice where we average approximately 350 clients a week across multiple clinic locations. You will spend time supporting both the speech pathologists and their clients.
You will assist our team of up to 14 speech pathologists and 3 allied health assistants and be based in our Townsville clinic.
You will follow existing processes and procedures, as well as be active in assisting the review and development of new systems.
You will work alongside 4 other support service team members across the clinics as well as being supported directly by the TalkHQ Co-Owners.

“It can be challenging helping people who are new to the therapy process or who have had a child who has just received a diagnosis. There are alot of emotions and you are often the first person they talk to. You’ve got to be empathetic and understanding but be able to give them the information straight”.
“Being a provider in the NDIS space and keeping up with best practice and company guidelines there is always something new to learn”.
“The clinic can get busy and there are lots of people wanting things done now. You will need to be great at prioritizing and be able to multitask at times”.

You’ll report to:
Leah Zandonadi - Team Leader (guru of the spreadsheets).
You’ll be a great fit if you:
● Have exceptional time management and task juggling skills
● Complete administrative tasks such as invoicing, accounts receivable, accounts payable and reconciliation with attention to detail
● A lover of technology, automation and spreadsheets
● Have great documentation skills to document and update policies and procedures
● Display strong communication skills to manage client complaints
● Are comfortable having “tricky conversation” relating to outstanding debtors
● Enjoy doing a range of different tasks including general housekeeping, repair and maintenance management and inventory management.
It’s best if you bring:
● Minimum of 2 years administration experience
● Ability to build an instant rapport over the phone and face to face
● An enthusiastic, warm, welcoming personality that can relate to children as well as adults
● A high level of communication skills (adept at spelling, grammar and basic mathematics)
● A willingness to immerse yourself into a dynamic team culture
● Completion of high school certification
● A high level of skills in using Google Drive, Microsoft Word, Excel and CRM programs (Cliniko is desirable but not essential)
● Ability to learn speech pathology terminology
