About the Role:
Based in Brisbane CBD at National Storage HQ, we are seeking a motivated, detail-oriented, and well organised Facilities Coordinator to support the day-to-day operations across our network of 270+ centres.
This is a highly administrative and integral role in ensuring our facilities are safe, efficient, and aligned with business needs. Key Responsibilities:
- Support the operations team by monitoring the ticketing system, raising, and tracking purchase orders, reconciling invoices, and preparing reports.
- Coordinate reactive and planned maintenance works with external contractors and service providers.
- Maintain the Facilities Management System (FMS) portal, ensuring accurate records of compliance documentation, site audits, and asset registers.
- Assist in ensuring health, safety, and environmental compliance by managing contractor documentation, inductions, permits, and safety audits.
- Support vendor management activities, including onboarding, monitoring service levels, and tracking performance.
- Assist with local and regional facilities projects and site fit-outs.
- Ensure the ticketing system and associated workflows are current, with follow-up on outstanding tickets and purchase orders.
About You:
- Minimum 2 years’ experience in facilities, property, hospitality, or workplace operations, preferably within a large-scale, or multinational organisation.
- Understanding of property compliance requirements (fire, building, vertical transport) is advantageous.
- Proficiency in Microsoft Office (Excel, Outlook, Word); familiarity with FM systems and accounting platforms highly desirable.
- Proven administrative and coordination abilities, with experience handling high volumes of work.
- Systematic and process driven with the ability to quickly understand and improve existing processes.
- Action and output oriented, identify and develop improvement opportunities.
- Excellent interpersonal and communication skills across different departments and stakeholders, with a proactive and service-oriented mindset.
- Ability to manage competing priorities independently in a dynamic environment.
