What you'll do:

As a Project Coordinator based in Perth, you will be at the heart of a dynamic civil engineering team dedicated to delivering projects that make a tangible difference. Your day-to-day responsibilities will see you collaborating closely with colleagues across various disciplines to ensure seamless project delivery. You will be instrumental in preparing high-quality bids and proposals for clients by gathering essential information from different areas of the business. Your keen eye for detail will be invaluable when proofreading critical documents such as reports and submissions. By managing document control systems like QDMS, Teambinder, and Aconex, you will help maintain rigorous compliance standards throughout each project's lifecycle. You will also play a vital role in supporting Project Managers with risk management tasks and ensuring all necessary approvals are obtained promptly. Scheduling meetings with stakeholders, preparing documentation for these sessions, closing out action items efficiently, and maintaining robust project management plans are all integral aspects of your role. Additionally, you will assist with auditing processes and provide essential administrative support that keeps projects running smoothly. Success in this position requires excellent organisational skills, strong interpersonal abilities for building rapport quickly within teams, adaptability to new systems or procedures as they arise, and an unwavering commitment to quality outcomes.

  • Provide comprehensive support to project teams by assisting in the preparation of bids and proposals for clients, ensuring all documentation meets established standards.
  • Coordinate input from various departments by collating staff CVs, sourcing relevant project examples, and tailoring submissions to client requirements.
  • Proofread and format project documentation including reports, letters, submissions, and other company documents with meticulous attention to detail.
  • Assist in consolidating and uploading submission documents through multiple tender portals while maintaining up-to-date database subscriptions.
  • Manage project document control using systems such as QDMS, Teambinder, Aconex, and other relevant programs throughout the project lifecycle.
  • Support compliance management by ensuring adherence to frameworks and procedures from project initiation through completion and close out.
  • Assist Project Managers with risk management processes by following up on outstanding approvals or action items as required.
  • Schedule start-up meetings with key stakeholders, prepare meeting documents, close out action items, and ensure effective communication among all parties involved.
  • Establish and maintain project management plans while preparing subconsultant appointment letters and purchase orders as needed.
  • Contribute to project auditing activities and provide general administrative assistance such as scheduling meetings, preparing agendas, attending meetings, taking minutes, and disseminating information.
