The Site Administrator / Quality Resource is responsible for providing administrative and document control support to site operations, while also playing a key role in monitoring and maintaining quality assurance processes. This hybrid position ensures that construction activities are documented accurately and that the company’s quality, safety, and compliance standards are upheld on-site.
Key Responsibilities:
Site Administration:
Maintain and update project documentation including drawings, plans, and registers.
Track and file daily site records including attendance, plant logs, and delivery dockets.
Coordinate site access, inductions, and training records for workers and subcontractors.
Assist with procurement tracking, inventory of site materials, and receipt validation.
Support timesheet collation and submission for payroll.
Schedule and prepare for meetings, including taking minutes and distributing action items.
Quality Assurance & Compliance:
Assist in implementing and maintaining the site-specific Quality Management Plan (QMP).
Conduct and document inspections and tests in accordance with the ITPs (Inspection Test Plans).
Collect, compile, and submit QA documentation for compliance and handover packages.
Support the preparation and auditing of quality records and corrective action reports.
Liaise with site supervisors and subcontractors to ensure quality requirements are communicated and met.
Assist in managing and filing WHS documentation (e.g., SWMS, incident reports, toolbox talks).
Qualifications & Experience:
Certificate III or higher in Business Administration, Civil Construction, or a related field (preferred).
Minimum 2 years of experience in a construction or engineering environment, ideally site-based.
Familiarity with QA/QC procedures in construction and understanding of ISO 9001 standards.
Experience with document control systems (e.g., Aconex, Procore, or similar) is an advantage.
High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Construction Induction Card (White Card) – mandatory.
