Are you passionate about delivering an outstanding onboarding experience by helping businesses get up and running on Avaana’s health and wellbeing marketplace?

As an Onboarding Specialist at Avaana, you will be an all-rounder looking to work in a pivotal customer-facing role in an early-stage startup. You will own the end-to-end onboarding journey for your assigned health clinics and work with our practitioner sales team to provide excellent technical and onboarding support to newly signed clinics. From assisting clinics to set up their Avaana business dashboard and sync their calendar with our platform, you will train owners, practice managers, and practitioners to seamlessly use Avaana. You’ll also play a key role in ensuring clients feel confident and supported.

What You’ll Do

  • Lead Onboarding Sessions: Conduct Zoom or phone-based onboarding calls to guide clients through platform setup, calendar integrations, and best practices.
  • Create Client Resources: Develop video tutorials, FAQs, and written guides to help clients navigate Avaana’s features independently.
  • Troubleshoot & Collaborate: Investigate and resolve client issues (e.g., software syncing, access problems) in collaboration with our Tech team.
  • Build Client Relationships: Be a friendly, knowledgeable face of Avaana, ensuring practitioner clients feel supported and valued from day one.
  • Drive Continuous Improvement: Gather client feedback and share insights with the Product and Marketing teams to enhance the onboarding experience.

What We’re Looking For

  • Client-Focused Communicator: You excel at explaining complex processes in simple terms—whether via email, phone, or video—and love making clients feel at ease.
  • Tech-Savvy Problem Solver: You’re comfortable with practice management software, CRMs, or similar platforms and can troubleshoot basic tech issues.
  • Self-Starter: You’re highly motivated, eager to learn, and can juggle multiple onboarding projects without missing a beat.
  • Team Player: You thrive in a collaborative environment and enjoy sharing knowledge and best practices with colleagues in Sales, Marketing, and Product.
  • Detail-Oriented Organiser: You can manage priorities, timelines, and client expectations precisely and carefully.

Qualifications & Requirements

  • Experience in customer-facing, technology onboarding, account management, or client services roles with a passion for working in a fast-paced, results-based start-up environment.
  • Strong work ethic and communication skills—both written and verbal.
  • Comfort using video conferencing tools (Zoom or similar) and passion for continuous process improvement.
  • Familiarity with Allied Health, medical, or healthcare tech is advantageous (but not required).
  • Demonstrated ability to manage projects, priorities, and timelines effectively.
  • Australian citizenship or permanent work rights.
