Position Title: Partnerships Coordinator

Area: Partnerships and Alumni

Supervisor: Manager, Partnerships and Alumni

Number of positions that report to this role: None

Hours: 35 hours per week. Some after hours and weekend work may be required, particularly in the lead-up to and during programs primarily, during school holiday periods.

Hybrid and flexible working arrangements

The successful candidate must be able to work full-time and additional hours during December and January.

Some travel interstate, overnight may be required.

Terms: Fixed term contract of 12 months, with the possibility of extension

Salary: $80,000-$100,000 per annum, depending on experience, plus 12% superannuation

Location: NYSF offices are based at the Australian National University, Canberra, however, Canberra-based WFH arrangements are available. Interstate applications will be considered.

Interstate travel may be required to support NYSF programs and events.

Established in 1984, NYSF’s flagship program—the NYSF Year 12 Program—brings together students from across the country who are passionate about science and technology, offering them hands-on learning, exposure to world-leading researchers, and access to cutting-edge facilities. Through immersive events, industry engagement, and peer networking, NYSF inspires participants to explore diverse STEM pathways and make informed decisions about their future careers.

Beyond the NYSF Year 12 Program, NYSF runs a variety of outreach initiatives aimed at expanding access to STEM opportunities and supporting a national community of STEM enthusiasts and professionals. With strong support from the government, academic institutions, research bodies, and corporate partners, NYSF plays a critical role in developing the next generation of Australia’s scientific leaders and innovators.

About the Role

The Partnerships Coordinator will play a key role in supporting the Manager, Partnerships and Alumni, to deliver high-quality partnership experiences and maintain strong, positive relationships with a wide range of stakeholders. This role works within a small, collaborative Partnerships and Alumni team; partnership initiatives will be supported by the CEO and the Board. This role requires a detail-oriented and proactive individual with excellent administrative skills, a collaborative mindset, and the ability to build rapport with a small team and external stakeholders.

This is an exciting opportunity to work with a diverse and rewarding portfolio and contribute to the delivery of impactful program activities. The Partnerships Coordinator will support the Manager, Partnerships and Alumni, in all aspects of relationship management and delivery of contractual obligations and tailored benefits to fulfil agreements, including day-to-day communications with partners. The role involves identifying business development opportunities and preparing proposals, reports, event coordination and support, maintaining accurate records and systems, and general administration.

The position offers flexibility to work both from home and in the office and is ideal for someone who thrives in a dynamic environment, enjoys frequent communication with stakeholders, and takes pride in delivering high-quality, detail-focused work within a supportive team.

Duties

Under the general direction of the Manager, Partnerships and Alumni, the Partnerships Coordinator will:

Coordination and delivery of a range of communications and marketing with a specific focus on building the NYSF brand publicly to bolster funding and nurture our Alumni community;

Prepare proposals and assist with the pitch for potential partnerships;

Prepare reports that strengthen and nurture NYSF partnerships and funding;

Liaise with internal departments and partners to ensure partnership obligations are met;

Shape and deliver activities that maintain long-term and meaningful contact with our alumni;

Help design and execute the communications around funding campaigns, e.g. donations, philanthropy & scholarship drives;

Assist with annual contracts and timely delivery of invoices for partners and sponsors;

Maintain the Salesforce database (CRM) to ensure it is kept up-to-date and accurate;

Support the development and delivery of outward-facing NYSF events and programs (online and in-person) that involve current or prospective funding partners, NYSF alumni and/or distinguished guests from the Australian STEM Sector, Government and Media;

Assist in the research and development of new fundraising activities;

Other duties as directed.

Selection Criteria

Essential

Experience with partnerships, sponsorships, or fundraising activities (preferably in the non-profit sector);

Experience in coordinating events;

High-level interpersonal and negotiation skills, including the ability to interact effectively with a diverse stakeholder base and support internal and external teams to achieve desired goals/targets;

Experience in using design software and producing marketing collaterals (e.g., partnership proposals, reports, campaigns);

Excellent time management skills and ability to multi-task and prioritise work;

Experience with Salesforce or a similar CRM, Canva and Microsoft Office;

Strong written and oral communication skills with attention to detail;

Experience in supporting event delivery with high-level communications and marketing for ticket sales;

Intermediate to Advanced Microsoft Office skills (Word, Excel, PowerPoint).

Desirable

Experience working in the not-for-profit sector;

A relevant tertiary qualification (i.e. fundraising, marketing, business, communications, etc.).

For This Role, Please Note You Will Also Need

Willingness to work outside of standard hours of operation as required and travel interstate as needed for NYSF events - the successful candidate must be able to work full-time during December and January to assist with the delivery of the NYSF Year 12 Program;

A current Working with Vulnerable Persons card, or the ability to obtain one before commencing in the position

A current First Aid & CPR certificate, or willingness to obtain;

A current COVID-19 vaccination, or willingness to obtain, to attend NYSF events;

A current National Police Check (completed in the last 3 months), or willingness to obtain.
