The Opportunity

We are seeking a dynamic and experienced Rostering Team Leader to oversee and coordinate our rostering functions. This pivotal role ensures the effective allocation of staff to meet participant needs, considering preferences, staff skills, award requirements and WHS considerations. The position also involves supervising Rostering Officers and collaborating closely with Program Managers and Team Leaders to maintain optimal service delivery.

Key Responsibilities

Oversee the creation and management of rosters, ensuring alignment with participant needs and organisational requirements.

Supervise Rostering Officers, providing guidance and support to ensure efficient operations.

Collaborate with Program Managers and Team Leaders to address staffing needs and resolve rostering challenges. Ensure Program Managers are provided with advance notice of any participant, children and young people support vacancies to allow Program Manager’s time to discuss with participants, children and young people.

Approve timesheets and manage amendments within the agreed scope.

Ensure the Rostering Officer, P&C, Service Delivery Program Managers, Team Leaders and Support Workers and other key stakeholders are provided with timely and consistent communication to enable the delivery of rostering, payroll and recruitment outcomes that benefit participants, children and young people.

Work with People & Culture and Service Delivery Teams to help facilitate the recruitment of suitable support workers against the needs and choice of participants, children and young people.

Work with the People & Culture team to develop and manage a casual pool of staff and to combine casual resources across sites so they are utilised effectively. Work collaboratively with Service Delivery Program Managers and Team Leaders to plan and assess shift vacancies across the organisation and transfer staff as appropriate to fill shifts in accordance with any industrial and NDIS related requirements.

Contact Support Workers to fill shifts in line with participant requests, approval of shift bidding requests.

Ensure compliance with industrial and NDIS-related requirements in all rostering activities.

Promote continuous improvement by reviewing and enhancing rostering processes and procedures.

Provide regular reports to the Executive Manager, People and Culture, highlighting performance metrics and areas for improvement.

What You Will Bring

Previous experience in a relevant industry, service or an equivalent level of expertise and experience to undertake the range of activities and responsibilities required; or

Willingness to commit to undertaking on the job training.

Previous supervisory experience in a fast-paced environment,

Willingness to commit to undertaking on the job training.

Commitment and dedication to working as part of a team

Well-developed planning, organisation and time management skills.

Selection criteria

1. High level of experience in rostering and coordinating a large number of people, preferably in a human services environment

2. Ability to interpret and apply legislative requirements to support effective rostering practices.

3. Evidence of using high level of attention to detail and very high standards of accuracy, relevant to rostering purposes

4. Evidence of applying excellent planning, organisational, time management and coordination skills to maximise efficiency in a busy rostering environment

5. Demonstrated ability to effectively plan and organise work within tight deadlines

6. Evidence of utilising excellent communication and interpersonal skills to drive change, share information and develop relationships with colleagues

7. Ability to work with others and be a participative and supportive team member, who seeks and provides feedback and solutions

8. High level of ability to work with a rostering system, Visual Care preferred but not essential, in addition to a high level of ability using technology and the Microsoft Office suite of products

9. Ability to extract and apply data against performance measures and within reports.

10. Demonstrated ability to be able to work under pressure with competing deadlines and be flexible and adaptable in changing plans to suit business needs.

11. Ability to review and develop policies, processes and procedures and actively engage in continuous improvement.

Safeguarding Requirements

The successful candidate will be required to provide and maintain the following:

Registration to Work with Vulnerable People (RWVP) Check with an NDIS endorsement.

National Police Check.

Completion of the ‘Quality, Safety and You’ NDIS Orientation Module.
