Our client is one of the ACT's largest and most reputable providers of commercial HVAC systems and preventative maintenance solutions to office buildings, data centres, communications hubs, hotels, shopping centres, and apartment complexes. They pride themselves on high-quality service, energy-efficient solutions, and long-standing client relationships.

About the Role:

The key position of Account Administrator is responsible for ensuring the smooth administration of customer accounts, supporting service delivery teams, and contributing to overall operational efficiency. You’ll be the vital link between clients and internal teams, ensuring service expectations are met and exceeded.

Key Responsibilities:

Customer Account Management

Set up and maintain customer accounts and records

Track account activity and contract renewals

Billing and Payments

Generate and issue accurate invoices

Monitor payments and assist with disputes or adjustments

Manage billing queries, refunds and account updates

Customer Support

Serve as the primary point of contact for account-related enquiries

Assist with service modifications, upgrades, and cancellations

Escalate issues where necessary

Service Management Support

Coordinate timely delivery of services

Assist with contract renewals and service changes

Collaborate with account managers to track job progress

Reporting and Documentation

Generate account and KPI reports

Monitor refrigerant usage and service performance

Maintain accurate service documentation and customer portals

Cross-team Collaboration

Liaise with internal service teams to ensure seamless customer experiences

What We’re Looking For:

Proven experience in administration, billing/accounts, or customer service roles

Excellent communication and problem-solving skills

Strong attention to detail and ability to manage competing priorities

A proactive, customer-first attitude

Experience with service delivery environments or the HVAC industry is desirable
