Role Overview
As our Project Administrator, you will play a pivotal role in ensuring the smooth delivery of our projects. You will support the Project Manager and the Director by managing documentation, liaising with clients and subcontractors, and coordinating the flow of information across all phases of construction. As a small and agile team, we offer a collaborative environment where your contributions make a real impact. This role is ideal for someone who thrives in a fast paced setting and wants to be part of a supportive and driven company. We are ideally looking for a full time candidate however University students feel free to apply - please clearly outline your availability.
Key Responsibilities
Assist with project scheduling, documentation, and compliance requirements
Manage communications between clients, consultants, suppliers, and trades
Update and maintain project records and schedules via Buildertrend
Support procurement and contract administration processes, including reviewing tenders and issuing purchase orders
Assist with invoicing, variations, and other admin tasks
Coordinate site meetings and client visits
Monitor project milestones and follow up on outstanding tasks
Assist with safety documentation and compliance tracking
Requirements
Previous experience in a similar administrative role, preferably in construction
High-level organisational and communication skills
Experience with Buildertrend is a plus
Experience with Xero is a plus
Strong attention to detail and ability to manage multiple tasks simultaneously
A team player with a professional and positive attitude
Understanding of WHS practices and documentation is desirable
Ability to work under pressure
Ability to have fun at work!
