Position Overview
The position is responsible for the day-to-day management, allocation and functioning of FCFCOA courtrooms and hearings, and provides logistical assistance for matters heard in circuit locations. The position reports directly to the Team Leader, National Court Support.
Duties
- Prepare for and manage all aspects of courtroom allocation in your dedicated regions, including preparation and publication of the daily list and, where required, distribution of video conferencing details;
- Oversight of in-court technology, including liaising with chambers staff, transcription service and other technology providers;
- Communicating and coordinating attendance of litigants with external agencies, including government agencies such as immigration detention centres, federal and state police, state corrective services and child welfare authorities;
- Provide training and support for in-court processes, including opening and closing court, swearing in witnesses, and videoconference process;
- Provide logistical assistance to judges and chambers staff in relation to matters heard in circuit locations;
- Corresponding with practitioners and legal support staff in relation to videoconference procedure, including related administrative process;
- Provide assistance and coordination with Court events, including seminars, webinars and ceremonial/formal occasions;
- Other administrative duties, for instance the allocation of courtrooms, virtual resources, mediation suites and visiting chambers, as required.
Competencies & Attributes
The position requires the employee to excel in a fast-paced and high-volume environment. The role is required to quickly respond to in-court judicial requirements and, as such, the candidate must be able to quickly assess urgency and respond accordingly. The position takes a significant role in the smooth functioning of the judiciary in its primary role – the listing and hearing of disputes brought before the Court. As such, the candidate will be required to take ownership of, and responsibility for, the ongoing and changing nature of the role. The ability to liaise effectively with the Judiciary and their staff in relation to their courtroom requirements will be key.
Selection Criteria
- Strong administrative and organisational skills with demonstrated attention to detail and a capacity to perform effectively under pressure in a high volume environment;
- Relationship management capacity, including an ability to communicate effectively with people at all levels, including judicial officers, as well as strong interpersonal skills, including a proven ability to manage stressful and/or conflict situations in a professional manner, on a continual basis.
- Ability to work with minimal supervision and as a member of an operational team;
- Initiative, adaptability and sound problem solving skills, including in relation to technology.
Note: This role encompasses responsibilities across Victoria and Tasmania however the successful candidate must be based on-site in Melbourne as duties pertaining to Tasmania can be effectively managed remotely.
Eligibility
Employment with the Court is subject to the conditions prescribed in the Public Service Act 1999, and the following:
- Australian citizenship – the successful applicant must hold Australian citizenship;
- Security and character clearance – the successful applicant must satisfy a Police Records Check, and may also be required to complete security clearances during the court of their employment;
- Health clearance – the successful applicant may be required to complete a health declaration or attend a medical assessment to confirm their fitness for duty.
Interested candidates who have received a redundancy benefit from an APS agency are welcome to apply, but note that they cannot be engaged until their redundancy benefit period has expired.
