About the role
The Mater Hospital Administration Team has an exciting opportunity for an experienced Administration Officer to join the Appointment Management team in a maximum term full time contract until 30th November 2025.
This is a full-time role based at Mater’s South Brisbane Campus. You will work predominantly day shifts on Monday – Friday working a 7.36hr shift. The successful candidate will require availability from 7am - 4:30pm. Our clinics are open 6am-6pm, you might be called to work outside your usual hours if required by the clinic.
Salary range: $31.24 - $36.44 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
As an Administration Officer within Appointment Management, your role will involve but will not be limited to:
- Provide exceptional customer service to patient and clients
- Book, reschedule, and cancel outpatient appointments in accordance with hospital guidelines and clinical timeframes.
- Liaise effectively with clinical and administrative staff to ensure accurate scheduling.
- Ensure referrals and waitlists are managed appropriately in accordance with relevant policies
- Maintain a high level of discretion and confidentiality, complying with administration, and financial policy and procedures, and maintain accurate patient information in hospital systems such as IPM and Verdi
- Identify and escalate booking conflicts, access issues, or capacity constraints to relevant Administration Coordinators or managers.
- Support improvements in clinic utilisation and flow through proactive scheduling practices
- Comply with privacy and confidentiality requirements and uphold professional standards in all communications.
- Provide relief support to reception or call centre roles when required
- Maintaining and meeting multiple KPI’s on a daily basis
About you
To be successful in your application, you will demonstrate:
- Experienced in customer service and administration
- Highly developed time management and organisational skills
- Strong computer skills including competence in using Excel, and Patient Administration systems (or the ability to quickly learn new systems)
- Excellent customer service and interpersonal communication skills
- Ability to organise and prioritise work effectively within a busy, fast-paced, demanding environment
- Availability for all shifts across a 5-day working week between 6am to 7:00pm
