About the Role

Vision Aggregation is a fast-growing business based in Sydney, servicing mortgage broker clients around Australia.

We are seeking a highly organised and proactive Administration Support Officer to assist our Operations Manager. This is a pivotal support role that blends administration, coordination, and personal assistance in a fast-paced, dynamic environment.

You will work closely with the Operations Manager to assist internal teams, mortgage brokers, and external partners to ensure smooth day-to-day operations, particularly focusing on broker onboarding and event support. This role is ideal for someone who thrives under pressure, enjoys variety in their tasks, and has exceptional attention to detail.

Key Responsibilities

Provide high-level administrative and personal support to the Operations Manager.

Learn and assist in executing the broker onboarding process, ensuring a smooth and professional experience.

Assist in planning, coordinating, and executing internal and external events.

Prepare and format documents, spreadsheets, and presentations using Microsoft Office (Word, Excel, PowerPoint)

Liaise with brokers and internal departments to gather, verify, and follow up on documentation.

Handle a high volume of tasks with efficiency, prioritising urgent matters.

Maintain accurate records and databases as required.

Skills & Experience

Proven experience in an administrative and/or personal assistant role.

Excellent organisational and time-management skills, with the ability to juggle multiple priorities.

Advanced knowledge of Microsoft Office Suite.

Knowledge of Canva, Wordpress and Campaign Monitor is preferred but not essential

Strong written and verbal communication skills.

High level of professionalism, discretion, and attention to detail.

Ability to work independently and as part of a team.

Experience in financial services or the mortgage industry is preferred but not essential.

Willingness to learn and adapt quickly to systems and processes.
