THE ROLES

We are recruiting for various positions within the Recruitment and SES Unit below:

APS5 Recruitment (Operations) and APS6 Recruitment (Operations)

These roles support the end-to-end recruitment process and include the coordination of administrative, recruitment and onboarding functions.

APS5 Recruitment Admin Support

This role supports the coordination of business improvements, administrative processes, end-to-end recruitment and the workflows associated with employment screening and onboarding\offboarding.

APS5 SES Unit Admin Support

This role provides administrative support to the SES Unit team in coordinating administrative processes, maintaining recordkeeping, assisting with SES recruitment and onboarding/offboarding processes.

POSITION DUTIES

APS5 and APS6 Recruitment (Operations) Duties include:

  • Understand and comply with APS legislation, industrial awards, and their application by maintaining an up-to-date technical expertise and knowledge base through reviewing Recruitment, Payroll and HR policies, process, and procedures, including the Enterprise Agreement.
  • To lead a team to manage first point of contact services, responding, resolving, and escalating of HR enquiries and /or incidents, using an early intervention approach, in line with established KPIs and best practice.
  • Contribute and implement relevant P&C strategies, and plans based on contemporary and emerging workplace trends to enable staff and the Commission.
  • Ensure all relevant policies relating to P&C reflect the Commission’s current obligations and provide necessary guidance to leaders and staff and conform with the Commission’s governance and policy frameworks.
  • Support the implementation of Commission-wide initiatives, ensuring current and future alignment with the People Strategy.
  • Manage a shared inbox or service desk tool queue ensuring queries are responded to in a timely manner, ensuring all customer interactions are logged using the service management tool.
  • Exercise appropriate delegations, work productively under limited directions on moderate to complex work, prioritise and self-manage workload.
  • Maintain communication channels, methods, and objectives.

In addition to the above duties, the APS6 Recruitment (Operations) Duties Include:

  • Demonstrated ability to supervise and guide a small team including allocation and management of workload, mentoring and coaching individuals.
  • Collaboratively manage team and build capability of staff to undertake their roles effectively, and efficiently in accordance with process and quality indicators.
  • Communicate work alignment with corporate priorities and monitor progress.
  • Collect and analyse relevant team or function related data to evaluate effectiveness P&C activities or programs or for external reporting purposes including Staff Participation Forum, APS Census or engagement surveys.
  • Collect, analyse, and utilise relevant P&C, team, or function related data to evaluate performance and outcomes.
  • Develop and maintain positive workplace relationships between the Commission and staff by providing timely, accurate, consistent, and clear advice to stakeholders.
  • Engage with P&C’s SES unit to ensure their needs are reflected in relevant work and work closely with P&C subject matter experts and multi-disciplinary teams.
  • Undertake continuous improvement activities to ensure P&C processes, procedures and systems are effective, promote efficiency and meet the needs of stakeholders.
  • Provide information and reports to a range of internal or external stakeholders.
  • Measure and evaluate the impact of initiatives and engage with leaders to understand business requirements for specific groups across the Commission.

APS5 Recruitment Admin Support Duties include:

  • Managing the Recruitment shared mailbox. Using Outlook categories, refer any email enquiries (not already assigned) or telephone enquiries regarding recruitment and other employment related services matters to the appropriate recruitment advisor.
  • Assistance in scheduling interviews and liaising with Hiring Manager (as required).
  • Actively maintain, update and navigate records and data management systems to resolve and process recruitment enquires and requests.
  • Provide information and advice on recruitment requests on the respective legislative framework in line with internal process.
  • Demonstrate accuracy and efficiency, with the ability to prioritise and manage own workload.
  • Provide high level administration by utilising technology applications and systems confidently to deliver efficient and effective service. Applications include relevant HR Systems, SAP, SharePoint and MS Office/Teams.
  • Provide administrative support services including the processing of documentation associated with new hires within the respective portfolios, good customer service whilst maintaining a high standard of confidentiality and privacy.
  • Other administrative duties (as required).

APS5 SES Unit Admin Support Duties include:

  • Managing the SES Unit mailbox. Referring enquiries regarding recruitment and other employment related services matters, ensuring all enquiries are prioritised, and responses are captured in the appropriate SharePoint file.
  • Actively maintain, update and knowledge base of Frequently Asked Questions.
  • Demonstrate accuracy and efficiency, with the ability to prioritise and manage own workload.
  • Provide high level administration by utilising technology applications and systems confidently to deliver efficient and effective service. Applications include relevant HR Systems, SAP, SharePoint and MS Office/Teams.
  • Assisting with the coordination and management of on-boarding and off-boarding processes with internal and external stakeholders.
  • Provide administrative support services including the processing of documentation associated with new SES within the respective portfolios, VIP customer service whilst maintaining a high standard of confidentiality and privacy.
  • Other administrative duties, as required.

WHAT YOU'LL NEED TO BE SUCCESSFUL

APS5 Recruitment (Operations) and APS6 Recruitment (Operations)

To be successful in this role you will need to demonstrate the following:

  • Tertiary qualifications in Human Resources and / or equivalent industry experience in a similar role.
  • Demonstrated experience in interpreting, applying and advising on HR legislation, policy and procedure and HR best practice whilst demonstrating a commitment to ongoing HR process and service improvement.
  • Demonstrated ability to implement pro-active HR initiatives in one or more of the following areas: recruitment, learning and development, generalist HR or similar.
  • Highly developed interpersonal, verbal, and written communication skills, including the ability to negotiate, communicate with influence and engage in difficult conversations with tact and discretion.
  • Well-developed organisational skills, self-motivation and initiative; with the ability to effectively and pro-actively balance workload and meet deadlines across a range of client groups, cases and HR portfolio areas.
  • Demonstrated ability to think strategically, exercise sound judgment and convert strategies into clearly articulated, goal-oriented action plans to achieve positive outcomes.
  • Understand and actively demonstrate the APS Code of Conduct and Values.

APS5 Recruitment Admin Support

To be successful in this role you will need to demonstrate the following:

  • Demonstrated experience in recruitment, administration, or similar transactional roles, including the ability to maintain a sustained level of concentration in high volume processing activities to ensure accuracy.
  • Developed computer literacy skills, including the capacity to effectively learn and utilise Microsoft Office/Teams and other professional applications.
  • Demonstrated organisational skills, including the capability to plan and prioritise work tasks, and manage concurrent activities in order to meet deadlines.
  • Demonstrated verbal, written and interpersonal communication skills.
  • Demonstrated commitment to the provision of focused quality customer service, including identifying needs and managing expectations.
  • Problem solving skills, including the capacity to interpret procedures, and exercise initiative, judgement and discretion, when appropriate.
  • Demonstrated ability to work effectively both independently and collaboratively as part of a team with limited supervision.
  • Prior knowledge of or experience in Acendre (desirable).

APS5 SES Unit Admin Support

To be successful in this role you will need to demonstrate the following:

  • Demonstrated experience in recruitment, administration, or similar transactional roles, including the ability to maintain a sustained level of concentration in high volume processing activities to ensure accuracy.
  • Developed computer literacy skills, including the capacity to effectively learn and utilise Microsoft Office/Teams and other professional applications.
  • Demonstrated organisational skills, including the capability to plan and prioritise work tasks, and manage concurrent activities in order to meet deadlines.
  • Demonstrated verbal, written and interpersonal communication skills.
  • Demonstrated commitment to the provision of focused quality customer service, including identifying needs and managing expectations.

Position Notes:

  • Salary offered will be between [APS5 - $86,204 - $93,226] or [APS6 – $96,503 – $108,869] per annum depending on skills and experience. In addition, 15.4% superannuation will be paid.
