The newly created role of Administrative Assistant will be highly organised, reliable and driven to fulfill a wide range of administration related tasks, work collaboratively with other teams and maintain high levels of discretion.

With strategic oversight provided by the Chief of Staff (CoS), the key accountabilities include:

Providing comprehensive administrative support to the CoS (and by extension, the Chair and CEO), managing communications on their behalf, including letters, invitations, emails, and phone calls.

Diary Management of the Chair and CEO, ensuring seamless calendar management without conflicts, and booking meeting rooms as needed.

Organising and coordinating Executive Management meetings, including minute taking and task delegation.

Organising and coordinating monthly team meetings.

Administration of Accounts Payable.

Working with the CoS to ensure smooth coordination and follow-up on daily matters between the Executive Chair and the Executive Management Team.

Upholding confidentiality and discretion when dealing with sensitive information and business matters.

Supporting ad-hoc projects including handling personal tasks for the Chairman when required.

Overseeing the day-to-day office operations, ensuring an organised, welcoming and efficient workplace.

Ordering and managing office supplies and inventory.

Coordinating office maintenance and repairs.

Answering the business telephone and directing appropriate action or delegation.

The primary point of contact for external stakeholders (eg strata, suppliers, IT, trades).

Organising company events, team-building activities, Christmas celebration, birthdays and strategy days.

Skills and experience:

At least two years’ professional experience in a similar role or with transferable skills.

Highly organised and able to support the CoS by ensuring action items are completed.

High attention to detail and is able to act with discretion, while being adaptable and able to handle an often-changing environment.

Self-motivated, demonstrating sound judgment and professionalism, whilst managing multiple competing priorities and expectations.

Relates well to all kinds of people embracing differences of opinion, flexibility and diversity.

Loves being part of a motivated team and thrives in a dynamic workplace.

Proficient in Microsoft Office.

Experience with Xero and/or other accounting software considered a bonus.
