Due to internal promotions and company growth, we are seeking an additional Scheduling and Administration superstar for Immediate start! This is a full-time position based in Queensland, Brisbane with a hybridized work environment, including WFH and Office based work, you will be required to be available minimum of 3 days per week to attend the office located in Murarrie, this position offers opportunities to grow and develop within the company.
We are seeking a highly organised and proactive Scheduling & Administration Officer to join our team. In this role, you will play a vital part in ensuring that our client sites are adequately staffed and operating smoothly. Your responsibilities will include coordinating schedules, booking flights and transport, and delivering essential administrative support to our Project Managers.
Key Responsibilities:
Ensure adequate staff coverage across client sites by managing and maintaining accurate rosters and travel arrangements.
Coordinate logistics including flights, accommodation, and transport in line with project timelines and budget constraints.
Provide comprehensive administrative support to Project Managers and field teams.
Monitor and track scheduling changes, responding with agility to operational demands.
Communicate effectively with team members and management, raising potential issues and proactively offering solutions.
Ensure all activities are compliant with relevant company policies, safety regulations, employment laws, and industry standards.
Maintain accurate records and documentation in accordance with audit and compliance requirements.
Support the development and implementation of standard operating procedures to improve efficiency and ensure regulatory alignment.
What We're Looking For:
Excellent organisational and time management skills with a strong attention to detail.
Ability to work in a fast-paced environment and manage competing priorities.
Strong communication and problem-solving skills.
A clear understanding of compliance, confidentiality, and data integrity requirements.
Prior experience in scheduling, administration, or a similar coordination role is preferred but not essential.
