About the role:

The Administration Officer is responsible for providing highly efficient professional reception and administrative support for the organisation's operations. Additionally, this role involves managing the Toy Library, creating welcoming spaces, ensuring toy safety, and implementing a membership and lending system. This system promotes play and supports children’s development by providing access to diverse and engaging play materials, in collaboration with early years educators and managers. The Administration Officer is supervised by the Manager, Children and Family Services and the position has no supervisory responsibilities.

This position works as part of a team and maintains regular contact with health professionals and service providers and maintains regular contact with other program staff to ensure effective outcomes for clients.

Key responsibilities:

  • Offer comprehensive administrative and clerical support to Children and Family Services by providing efficient reception and telephony services, timely and professional responses, deliver excellent client service to project a courteous, efficient, and helpful image of the organisation.
  • Prepare, maintain and manage administrative systems, including confidential information, client records and statistical data to measure performance against agreed indicators with precision and care.
  • Keep informed and up to date of the organisation’s programs and services.
  • Assist clients with toy library resources, including cataloguing new items, barcoding, re-shelving, tidying shelves, and maintaining office equipment. On the job training on how to utilise library software, supporting families with borrowing, and return of library materials.
  • To provide effective library and customer service points and experience.
  • Participate in review and evaluation activities and strategic development of library service.
  • Participate in organisational and community activities to advance the health and wellbeing of Aboriginal and Torres Strait Islander people.
  • Work within Wuchopperen’s Policies and Procedures including the Staff Code of Conduct and the Work Health and Safety requirements and contribute to continuous improvement processes to ensure compliance with relevant standards and safe, effective service delivery.

Core Capabilities:

For applicants to be successful in this role, they should demonstrate:

  1. Demonstrated experience in the provision of administrative support, the use of Microsoft Office, client information systems and general office and reception duties preferably within a community service environment.
  2. Knowledge and understanding of Aboriginal and Torres Strait Islander societies and cultures from an historical and contemporary perspective, including the ability to communicate effectively and sensitively with Aboriginal and Torres Strait Islander people.
  3. Extensively developed interpersonal and communication skills including the ability to liaise with a range of stakeholders as well as effectively advocate for Aboriginal and Torres Strait Islander people.
  4. Demonstrated ability to work independently and in a multi-disciplinary team environment, prioritise and meet deadlines, deal with matters of a sensitive and confidential nature.
  5. Demonstrated ability to meet and work within the core values and behaviours of Wuchopperen.

Requirements:

  • Possession of a current CPR certificate or commitment to obtain within the first six weeks of employment is essential.
  • Possession of a current Queensland “CA” class driver’s licence is essential.
  • Commitment to work within the principles of Aboriginal and Torres Strait Islander community control including a willingness to develop the leadership of Aboriginal and Torres Strait Islander staff.
  • Ability to use Microsoft products and the ability to use or willingness to gain proficiency in the client information management systems.
  • It is a condition of employment in this role for the employee to be, and remain, vaccinated against measles, mumps, rubella, varicella (chicken pox), pertussis (whooping cough) and hepatitis B
  • It is recommended for the employee to be vaccinated against COVID-19.
  • It is a condition of employment that all employees are holders of a current and valid ‘blue card’ or Working with Children Check. This is at your cost. Employment cannot continue or commence if you do not have a ‘blue card’ or if your ‘blue card’ is withdrawn or is disqualified.
