NORTHWEST LOCATION
Our client, an established and well-respected busy specialist practice, located in the inner northwest of Melbourne, specialising in Gastroenterology and hepatology, is currently seeking an experienced Office Manager to join their team and assist with the day-to-day running of the practice.
This role would suit an experienced Office Manager or a Senior Medical Secretary who is looking to take the next step in their career. You must have the expertise of strong coordination/organisational skills with the drive to succeed.
This role is offered on a full-time basis, Monday to Friday, 9 am to 5 pm (with some flexibility). The successful candidate will be rewarded by working in a well-established, highly organised, and supportive team environment. Salary is negotiable, dependent on skill level and experience.
Duties include:
Meet and greet patients
Oversee staff and provide support when needed
Running consulting sessions
Preparing and receipting consult accounts
Booking of procedures
Billing of procedures
Preparing and managing theatre lists (including anaesthetists, ordering lists and emailing lists)
Manage online bookings
Sending confirmation emails to new and online patient bookings
Forward referrals and missing invoices
Genie reporting
Use of Genie medical software is preferred
Answering telephone
Booking patient appointments
Data entry of patient details
General admin. duties – scanning, faxing, filing etc.
Start and End of day duties
Ensuring processes and protocols are followed
Update practice manual and attend practice meetings.
Approval of staff leave
Approval of timesheets in readiness for wages to be processed.
Liaise with the finance manager as required
Reconcile end of day
Essential Criteria:
Ability to protect patient privacy and confidentiality.
Clear communication skills, with the ability to communicate effectively with doctors, staff, patients etc
Excellent telephone manner.
Professional presentation at all times (uniform provided)
Ability to work within a team, as well as independently.
Ability to prioritise and organise workflow effectively.
Proven computer skills.
