Job Title: Office Administrator

Job Summary:
We are seeking a highly organized and motivated Office Administrator to join our team. The successful candidate will be responsible for providing administrative support to the Director and ensuring the smooth operation of our office. This is a minimum 20-hour per week position, with flexible hours to be negotiated.
Responsibilities:
· Scheduling jobs for the Director and other tradesmen.
· Managing Accounts Payable and Receivable, including processing and generating invoices.
· Providing excellent customer service and communicating effectively with clients via phone and email.
· Communicating effectively with the Director regarding ordering and job progress.
· Ensuring all tax obligations are met (GST/PAYE), including wages and holiday pay.
· Assisting with marketing activities such as mailing letters, managing customer database, and social media.
· Maintaining a high standard of work quality within appropriate timeframes.
· Contributing to a positive and fun work environment.
· Supporting the team to meet deadlines and uphold the Comfort Solutions professional image.
Qualifications:
· Minimum 2-3 years of experience in an office administration role (experience in an Air Conditioning/Electrical or related Trade Business is an advantage).
· Proficiency in XERO (or another accounting package such as MYOB).
· Strong knowledge of Accounts Payable and Receivable processes.
· Excellent customer service, communication, and phone skills.
· Ability to work independently and as part of a team.
· Strong organizational and time-management skills.
· A positive attitude and a willingness to learn.
