The Opportunity
Philip Chun is seeking a Building Inspection Coordinator/Administration Assistant to join our team in our Melbourne office.
Working alongside our existing administrative staff and a collaborative technical team, you will have the opportunity to provide essential inspection coordination support as well as support across a diverse range of projects while also contributing to the implementation of new systems and processes.
This role is ideal for a highly organised, self-motivated individual with strong communication skills and excellent attention to detail. The ability to thrive in a fast-paced environment, prioritise tasks effectively, and meet deadlines is essential.
This is a full-time, in office, position.
Key Responsibilities
· Liaising with Building Surveyors, Engineers, Builders, Contract Inspectors and clients.
· Managing Building Inspector Schedules – booking, re-scheduling and cancellations.
· Generating and issuing inspection reports and logging reports to Victorian Building Authority (VBA).
· Generating and issuing Occupancy Permits, Certificates of Final Inspection and logging permits to VBA.
· Record keeping and data entry of mandatory inspections / building inspector inspections.
· Preparing and issuing documents to council.
· Aiding existing administration staff in the below tasks as required:
Review fee requests and Requests for Tender (RFTs) from private and government sectors, preparing and issuing fee proposals in accordance with due dates, with the assistance of a technical officer.
Compile company information and project experience for returnable schedules as part of Tender submission.
Oversee project files, including inputting invoices, setting up fee proposals and project details, and ensuring client information is accurate and regularly maintained.
Reviewing of Consultancy Agreements and Contracts issued by clients to ensure consistency with the Philip Chun fee proposal.
Liaising with clients to gather necessary information and documentation for fee proposals, ensuring a clear understanding of project requirements.
Assist with shared office management tasks including, but not limited to: answering phones, filing emails, and managing deliveries etc.
Qualifications & Competencies
· Prior experience in a Building Surveying / Engineering / Local Government Office would be highly advantageous.
· Exceptional communication and client service skills.
· Strong organisational skills with the ability to work autonomously, multitask, and meet deadlines effectively.
· Proficiency in Microsoft Office (Intermediate level) with the ability to quickly learn and adapt to new systems and processes.
· Must be an Australian Citizen, Permanent Resident, or hold a visa with full working rights in Australia.
