Purpose of the Role

The School Administrator plays a pivotal role in ensuring the smooth and effective operation of the school. The role encompasses a wide range of responsibilities including administration, front-of-house duties, compliance support, and communication. This position requires exceptional organisational and interpersonal skills, confidentiality, and a strong commitment to building a supportive school community.

Key Responsibilities
Student Records Management

· Maintain accurate, confidential student records in line with policy and regulatory requirements.

· Manage enrolments, transfers, and withdrawals.

· Generate internal and external student documentation and reports.

· Support February and August census processes.

· Maintain up-to-date medical and emergency contact information.

· Ensure consistency and synchronisation across school databases.

Office Administration

· Deliver high-quality administrative and customer service support.

· Oversee document filing, office organisation, and inventory.

· Monitor visitor entry and enforce safety protocols.

· Direct enquiries to appropriate staff in a timely, professional manner.

· Coordinate logistics for excursions, events, and school activities.

· Support communications related to student and parent engagement.

· Prioritise tasks from the Principal and Business Manager.

Resources and Facilities

· Operate ICT systems (e.g. Word, Excel, databases, internet tools).

· Maintain stock and distribute supplies as required.

· Manage office/classroom supply orders and ensure equipment maintenance.

· Support the school librarian with cataloguing tasks.

· Maintain lost property and coordinate its redistribution.

· Assist with laptop maintenance when required.

Human Resources Support

· Support recruitment processes including advertising, applications, and interview logistics.

· Provide administrative support to the Business Manager on HR matters.

· Conduct Child Safe protocols including police checks, WWCC, reference collection, and qualification verification.

Front-of-House & Onboarding

· Serve as the first point of contact for all visitors and enquiries.

· Maintain a welcoming, organised reception and student services area.

· Supervise students and visitors in reception.

· Ensure confidentiality when handling sensitive information.

· Assist with onboarding for new staff and students (email accounts, systems orientation).

· Support new families during the enrolment transition.

First Aid

· Provide First Aid (post-training), assist unwell or injured students, and liaise with parents and staff.

· Ensure timely and accurate completion of first aid records.

· Monitor and manage medical supplies and kits.

· Support students with care plans and medical needs.

· Maintain tidiness and functionality of the first aid room.

Compliance and Reporting

· Uphold school policies and ensure compliance with legal/regulatory obligations.

· Prepare and submit required reports accurately and on time.

· Assist the Principal with compliance documentation.

· Ensure student safety protocols, emergency procedures, and risk management practices are up to date.

· Maintain relevant school displays and noticeboards.

Communication & Community Engagement

· Support the Principal in delivering consistent communication to families and staff.

· Coordinate the school newsletter and assist with drafting letters, notices, and event invitations.

· Assist with social media to promote the school and its values.

· Support parent engagement and contribute to an inclusive school culture.

Requirements & Qualifications

· Proven experience in a similar administrative role (preferably in education).

· Strong multitasking and time management abilities.

· Proficient in Microsoft Office and school management systems.

· Strong communication and interpersonal skills.

· Knowledge of Steiner education and school compliance (advantageous but not essential).
