What You’ll Be Doing
This role is all about keeping things running smoothly. You’ll be the go-to person for ensuring your managers stay focused on their priorities while you handle the details. Key responsibilities include:
Managing a complex calendar across multiple global time zones.
Coordinating regional events, quarterly All Hands meetings, and monthly team meetings.
Organizing domestic and international travel, including handling passport and visa requirements.
Processing expense reports and supporting purchase orders and procurement processes.
Tracking and managing budgets for travel and expenses.
Maintaining internal SharePoint sites and assisting with HR-related tasks.
Supporting executive visits and managing organizational assets.
Leading small projects and helping manage team interns.
What a Typical Day Looks Like
Calendar and diary management.
Budget allocation and expense tracking.
Coordinating projects and assisting with program management.
Communicating with internal and external stakeholders.
Managing travel arrangements and logistics.
Taking initiative to keep your managers organized and on track.

What We’re Looking For
We’re after someone who’s not just great at what they do but also brings a positive, can-do attitude to the table. Here’s what you’ll need to succeed:
Proven excellence in administrative skills, with 3-5 years of experience supporting senior-level managers.
Strong planning, organizational, and communication skills.
Proficiency in Microsoft tools like Teams, Outlook, OneNote, and Excel.
Experience with travel scheduling, expense tracking, and budget management.
A proactive mindset, willingness to learn, and the ability to adapt to changing priorities.
Confidence to pick up the phone, manage stakeholders, and influence outcomes.
Bonus Points For
Previous experience in a global tech environment.
Familiarity with corporate policies and procedures.
A knack for building spreadsheets and tracking expenses with precision.
