The Opportunity
This is a critical support role within our Impact, Reporting, and Process Improvement team. We are looking for a skilled and highly organised Impact, Reporting and Process Improvement Officer/Administrator to play a key role in supporting our operational objectives and enhancing our programs. Reporting to the Head of Impact, Processing, and Reporting, you will be instrumental in managing essential data, streamlining administrative functions, providing vital support to program teams, and contributing to our culture of continuous improvement. This position offers you the opportunity to make a meaningful impact.
What You'll Be Doing
Program and Operational Support:
Provide essential administrative and scheduling support for Program Managers, including calendar management and meeting logistics (ensuring digital assets/systems are prepared).
Track key organisational activity and program metrics and assist with data analysis related to resource utilisation and logistical improvements.
Collaborate to support the design of reporting systems and assist with creating project planning documentation like work breakdown schedules.
Become highly involved in understanding our theory of change and impact framework, developing skills in impact measurement, evaluation, and reporting.
Support quality assurance by assisting with feedback collection and reporting.
Administrative Operations:
Manage incoming email correspondence and general inquiries, ensuring timely and professional communication, potentially using a ticketing process.
Maintain an organised file structure, knowledge base, and create/manage project folders within shared drives and systems.
Perform diverse administrative tasks, including expense reconciliation, managing office supplies and equipment, and organising repairs/maintenance.
Data Management and Reporting:
Support the development and maintenance of systems for accurate and organised data collection and ensure data integrity through quality checks.
Create regular reports on key program metrics, trends, and impact outcomes using data visualisation tools and clear presentation techniques (including Canva).
Maintain and update dashboards to visualise key organisational and program metrics.
Assist in the analysis of data to identify trends, support program evaluation, and contribute insights for strategic decisions.
Process Support and Improvement:
Assist in documenting current workflows and identifying potential inefficiencies.
Support the implementation of new or improved processes and track their effectiveness.
Take responsibility for managing specific operational processes end-to-end, such as the scheduling and coordination of school bookings.
What You'll Bring
We are seeking a highly motivated and exceptionally organised individual with a strong administrative and data-focused skillset to be a cornerstone of our Impact, Reporting, and Process Improvement team. To thrive in this critical support role, you will need:
Proven Experience: A minimum of 5 years of experience in a dedicated administrative or program support capacity, demonstrating a track record of effectively managing diverse responsibilities.
Exceptional Organisational Prowess: Superior organisational and time management skills are essential, with a natural ability to effectively prioritise tasks, manage multiple workflows simultaneously, and consistently meet deadlines in a dynamic environment.
Technical Proficiency: Advanced proficiency in core office productivity suites (such as Microsoft Office or G Suite) is required. Experience with data visualisation tools (like Canva), project management software (such as Smartsheet or similar), and collaborative platforms (like Confluence) is highly desirable. Experience with database management is also a significant advantage.
Meticulous Attention to Detail: A sharp eye for detail and an unwavering commitment to accuracy and quality in all outputs, from data entry and report generation to calendar management and document control.
Analytical Mindset: Strong analytical skills with the ability to work with data, identify trends, and contribute insights to support program evaluation and inform decision-making.
Collaborative Communicator: Excellent communication and interpersonal skills, with the ability to build positive relationships and work effectively and collaboratively with colleagues across different teams.
Adaptability and Eagerness to Learn: A demonstrated ability to quickly learn and adapt to new software, systems, and processes. A keen interest in developing skills in impact measurement, evaluation, and reporting is highly valued.
Ideally, You Will Also Have:
A Certificate, Diploma, or Degree in Business Administration or a related field.
Prior experience working with impact evaluation and reporting frameworks.
Experience in managing end-to-end operational processes.
