The Role:
This organisation is seeking an Executive Assistant to provide support to the Chief Finance Officer within a busy finance team. Reporting into the CFO, you will play a key role in supporting a finance team to perform at their best. Responsibilities of the role include:
- Support the Office of the CFO (OCFO) by screening and interpreting telephone calls and redirecting inquiries to appropriate areas;
- Proactively manage and coordinate electronic diary of the CFO, including the preparation and organisation of meetings, conferences, seminars, accommodation and travel arrangements;
- Manage the administrative functions associated with the office including corporate card, emails, preparing meeting agendas and minutes, briefs and other documents through the provision of high quality confidential secretarial support.
- Ensure compliance with the department’s records management system and assist with a range of general office duties including filing, correspondence, documentation and report collation.
- Assist the Finance Directorate by processing invoices for payment through SAP and with any additional project work as required.
- Provide assistance with any human resources requests including forms, processes and systems support as required.
Your Profile:
- Ability to manage schedules, prioritise tasks, and coordinate multiple activities.
- Accuracy in calendar management and document preparation.
- Proficiency in managing their own and the executive's time efficiently, with the ability to anticipate deadlines.
- Excellent verbal and written communication to liaise with stakeholders and draft emails/correspondence as required.
- Trustworthiness in handling sensitive and confidential information.
- Ability to think critically, adapt to changing circumstances, and address challenges independently.
- Competence in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Polished, approachable, and reliable, with strong relationship-building skills.
