Position Overview: We are seeking a proactive and organized Sales Support Coordinator to join our team. This role is crucial in ensuring smooth day-to-day operations by managing orders, coordinating transport, supporting the sales team, and assisting with basic marketing tasks. The ideal candidate will have strong multitasking skills and a customer-focused mindset.

Key Responsibilities:

Order Management:

  • Receive incoming orders via phone, email, and online platforms.
  • Accurately process orders into the system, ensuring all details are correct.
  • Prepare orders for dispatch and ensure all necessary paperwork is complete.

Logistics Coordination:

  • Arrange and coordinate transport for timely delivery of orders.
  • Maintain communication with drivers and delivery partners to track order status.
  • Resolve any delivery issues or delays efficiently.

Invoicing & Payments:

  • Generate and issue invoices promptly.
  • Track outstanding payments and follow up with clients as needed.
  • Process incoming payments and maintain accurate financial records.

Customer Support:

  • Answer incoming calls and assist with customer inquiries.
  • Forward calls to the appropriate team members when necessary.
  • Provide basic product and service information to clients.

Sales Support:

  • Assist the sales team by preparing quotes, handling paperwork, and maintaining client records.
  • Support follow-up communications to ensure customer satisfaction.

Marketing Assistance:

  • Support the marketing team with basic tasks such as updating social media accounts, preparing promotional materials, or coordinating campaigns.

General Administration:

  • Maintain organized records of all transactions and communications.
  • Assist with other administrative tasks as required.

Key Skills & Qualifications:

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written.
  • Experience in order processing, logistics coordination, or customer service is preferred.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with CRM or ERP systems is advantageous.
  • A proactive attitude with strong problem-solving skills.
  • Ability to work independently and as part of a team.
