About the role

As our Systems Specialist, you will be responsible for managing and optimizing our LearnWorlds LMS platform and HubSpot CRM systems. You will create automations and integrations that increase efficiency for our team of approximately 20 employees across multiple countries. You will develop and implement technical solutions that enhance user experience, streamline operations, and align with our branding and marketing strategies. Additionally, you will analyze data from training participants' surveys and exam responses to provide insights for program improvement. This role requires technical expertise, system administration skills, data analysis capabilities, and the ability to work independently while collaborating with cross-functional teams, particularly marketing.

Key responsibilities

Administer and maintain the LearnWorlds Learning Management System, including user management, course setup, and technical troubleshooting

Manage HubSpot CRM configuration, customization, and optimization to support business operations

Create and implement automations using native system configurations and Zapier to improve efficiency across departments

Collect, analyze, and report on training participant data, including survey responses and exam results

Partner with the marketing team to enhance LMS navigation and ensure brand consistency across platforms

Design, test, and implement integrations between LearnWorlds, HubSpot, and other business systems

Perform regular quality assurance testing and troubleshooting of systems to ensure optimal functionality

Document processes, workflows, and system configurations

Monitor system performance and recommend improvements

Provide technical support and training to internal team members as needed

Stay current with updates and new features in LearnWorlds and HubSpot to leverage platform capabilities effectively

Required skills

Strong technical aptitude and ability to quickly learn and master new software systems

Experience with Learning Management Systems (LearnWorlds preferred) and CRM platforms (HubSpot preferred)

Demonstrated ability to create automations using native system tools and integration platforms like Zapier

Data analysis skills and experience with reporting tools and data visualization

Ability to interpret survey data and assessment results to derive meaningful insights

Problem-solving skills and ability to troubleshoot technical issues independently

Attention to detail and strong quality assurance mindset

Excellent written and verbal communication skills in English

Ability to manage multiple projects simultaneously and meet deadlines

Self-motivated with the ability to work autonomously in a remote environment

Understanding of data security and privacy best practices

Your experience
Required

3+ years of experience administering Learning Management Systems and CRM platforms (LearnWorlds and HubSpot strongly preferred)

Demonstrated experience creating automations and integrations between business systems

Experience with Zapier or similar automation tools

Proven track record of implementing technical solutions with minimal supervision

Familiarity with survey design and analysis methodologies

Preferred

Experience working in a remote team environment

Experience in data analysis, learning assessment data or educational outcomes is especially desirable

Experience supporting systems used across multiple countries

Understanding of UI/UX principles

Experience working in the social services, edtech, or non-profit sectors is a bonus

Working hours

Must be flexible to occasionally start earlier in the day (e.g., 7:00 AM AEST) for meetings with US-based team members

Overtime is not expected for this role and requires you to seek prior approval from your leader before working beyond your standard number of hours
