Position Description: Administration Officer
Position Summary:
The Gas Depot Administration Officer plays a crucial role in supporting the daily operations of the depot. This position ensures efficient administration, compliance with safety regulations, and smooth coordination between various departments. The officer will be responsible for maintaining records, processing orders, liaising with stakeholders, and ensuring adherence to industry standards.
Key Responsibilities:
- Administrative Support: Handle documentation, data entry, and correspondence related to depot operations.
- Customer & Supplier Coordination: Manage communications with customers, suppliers, and logistics teams to ensure timely delivery of gas supplies.
- Inventory Management: Maintain accurate records of stock levels and coordinate restocking as needed.
- Compliance & Safety: Assist in ensuring compliance with workplace health and safety regulations, including documentation and reporting.
- Financial Transactions: Process invoices, purchase orders, and other financial documents related to depot operations.
- Scheduling & Logistics Support: Help organize deliveries and transport schedules while coordinating with drivers and suppliers.
- Reporting & Documentation: Prepare reports on depot activity, performance, and compliance matters.
- General Office Duties: Handle phone calls, emails, and assist in other administrative tasks as required.
Key Skills & Qualifications:
- Strong administrative and organizational skills.
- Experience in inventory management and record-keeping.
- Proficiency in Microsoft Office
- Strong communication skills with an ability to liaise with different stakeholders.
- Knowledge of gas industry regulations and safety requirements (preferred).
Key Skills & Qualifications (Continued):
- Ability to work independently and as part of a team.
- Prior experience in logistics, supply chain, or depot operations is advantageous.
Work Conditions:
- Office-based role within the depot environment.
- Interaction with suppliers, customers internal/external, and transport personnel.
- Adherence to strict safety protocols and industry regulations
Hours: 8:30am to 5:00pm - Open to discussion if you require flexibility on these hours.
Days: Monday to Friday {Ongoing}
Pay rate: $36.00

- Depot checklist entry
- Depot stocktake entry
- Office filing
- Management of Wodonga sharepoint site
- Processing BOC dockets
- Reticulation meter reads and charge outs
- Maintenance of Ongas maintenance register
- Site induction and training
- Permit preparation and management
- Branch journals
