About the role

Dunmore Lang College is seeking an Admissions and Enrolment Coordinator to join our warm and inclusive team. This full-time position is located at Macquarie Park, NSW. In this role, you will play a crucial part in supporting the student experience by managing the admissions and enrolment processes.

In this role, you will:

· Be the first point of contact for prospective Macquarie University students and their families looking for accommodation – providing information and encouragement to apply.

· Organise and run College tours throughout the year.

· Manage the flow of applications, treating each one as if it were yours.

· Be a passionate advocate for what we do at Dunmore Lang College and able to answer all questions a prospective student may have.

· Manage student files and ensure our community database is accurate, up to date and easy for all staff to access what they need.

· Update the Admissions and Enrolments operating manual at least annually.

· Book, organise and attend as required, Career Expos around NSW and interstate.

· Manage the College’s marketing materials, merchandise, and collateral.

· Recruit and train the College Ambassadors who assist with tours and attend Career Expos.

· Ensure our systems remain seamless, simple to use, student-focussed and 100% accurate, [proactively look for problem areas, review and suggest changes].

· Allocate room bookings for both the university semesters and conference periods.

· Be self-sufficient and self-motivated as well as a great team member. Work co-operatively with other team members including assisting other work areas in times of high demand.

· Assist with the continuing engagement of our Alumni community.

· Actively participate in regular staff and team meetings.

On day one, you will bring:

· A friendly personality and a passion for creating positive student outcomes.

· Demonstrated skills in organisation, attention to detail, and managing multiple tasks while staying calm and focussed.

· An ability to work independently and manage multiple processes at varying stages to completion.

· An ability to implement processes accurately as well as monitoring outcomes to suggest changes and improvements.

· Excellent communication skills including being comfortable with engaging prospective students and their families, university partners and external stakeholders.

· Alignment with the College’s commitment to maintaining a welcoming, inclusive, and respectful community.

· A clear understanding of confidentiality and the importance of acting with discretion and personal integrity.

· A proactive approach to helping others when required.

Essential

· At least 5 years’ experience in customer service, administration and database management.

· Advanced Microsoft Office, Calendar and Outlook.

· Police Check and Working With Children Check (or a willingness to obtain these).

· First Aid Certificate or willingness to obtain.

Desirable

It would be great if you also bring:

· Previous experience in the educational and/ or student accommodation sectors.

· Experience with Synergetic student management software.

· Confident presentation skills.

· A degree (preferably in arts with an interesting major).

· Excellence in customer service to all internal and external parties

o Positive feedback from prospective students and families.

o High level of conversions from student enquiries to enrolments.

o Strong and co-operative working relationships with Macquarie University Accommodation, Walanga Muru (MQ Indigenous Student Unit), Widening Participation, Macquarie International, Macquarie University College and the Future Students’ team.

· Effective marketing and advertising programmes

o Marketing materials are appropriately stocked and distributed.

o Career Expos are attended and appropriately documented.

o Recruit and provide training for the Student Ambassadors in preparation for the Career Expos.

o Contribute to the continued improvement and engagement of our Alumni community.

o Contribute to the ongoing development of marketing resources, including collateral, and ensure adequate stocks are maintained.

· Student admissions and database management

o Student enquiries are answered promptly.

o Student records including applications, enrolments, amendments, bookings, charges, departures, and personal information are kept up to date.

o Debtors and student payments are managed closely and any anomalies promptly communicated to the management team for advice.

· Positive working relationships with staff and students

o Excellent working relationships with staff team members, student leaders, and students.

o Positive feedback from current students.

o Active participation in regular staff and team meetings, and staff training.

o Show initiative by providing assistance to all managers and staff as and when required.

· Commitment to innovation and total quality improvement

o Suggesting innovations to improve efficiencies within student administration.

o Regular review of processes with an emphasis on streamlining and simplification, innovation and creative problem-solving to improve student experience and satisfaction.

o Demonstrated ownership of all areas of responsibility.

· Commitment to College ethics and values

o Alignment with the College’s commitment to maintaining a welcoming, inclusive, and respectful staff and student community.
