About Us

The Queensland Fire Department (QFD) provides fire prevention, preparedness and response services to fire in the built and landscape environments, as well as scientific and specialist capabilities to Queensland communities. The QFD provides a multi-hazard emergency response, including road crash rescue, bushfire, hazardous material, technical and vertical rescue, severe weather incidents, remote and swiftwater rescue, and provides a number of functions supporting community safety outcomes.

The department encompasses Queensland Fire and Rescue (QFR), Rural Fire Service Queensland (RFSQ), as well as the broader department which work together to pre-empt, prevent, mitigate and manage the consequences of fires and other emergencies on Queensland communities and support our large volunteer membership across the state.

Purpose of the role

The Air Operations unit facilitates air support to ground crews during bushfire or other emergency events through the provision of safe aircraft, trained personnel and assists with the management, coordination and dispatch of aviation resources. The team is also responsible for developing and maintaining a range of training products for aviation specialist roles, including foundation training for non-specialist personnel across all services of the department.

Reporting to the Executive Manager, you will be a key member of the team providing efficient, effective and confidential administrative support to meet the functions of the business unit. You will set priorities and monitor workflows to undertake work across a broad range of service delivery activities. You will support staff through the provision and coordination of resourcing and finance activities, information management, documentation control and secretariat duties, as required, including monitoring for compliance for the successful delivery of work area objectives.

Highly desirable requirements

Government purchasing (Level 2).

Working knowledge in the use of human resource, finance systems (i.e. SAP or similar finance management system) and document management systems and reporting.

Special requirements

It is expected that the incumbent will participate in an out of hours on call roster during heightened emergency operations. This may require work outside of normal hours (e.g. night shift), including weekends, working extended hours and may include deployment to other parts of the state.

Your key accountabilities

Your part in the ongoing success of our department, in supporting key frontline services will see you responsible for a variety of work, including, but not limited to:

Provide high level and timely administrative support, including the preparation, review and coordination of correspondence, reports, agendas, minutes and other materials.

Provide financial and business compliance support, including revenue, expense, procurement and contract administration coordination to meet departmental financial obligations and objectives.

Provide high level administrative and program support, including maintaining document management systems, filing and tracking of training and travel records through SharePoint web management or other storage systems.

Coordinate and organise meetings, training courses, workshops, travel and accommodation itineraries, including catering, and ensure accurate information is provided to assist with planning and scheduling.

Liaise and maintain productive working relationships with internal and external stakeholders in relation to various program initiatives to ensure consideration of issues and delivery of positive outcomes.

Undertake general office duties, mail distribution, filing, diary control and maintenance of office equipment and asset records to ensure the effective management of the office.

Contribute to the development, maintenance, training and advice of administrative processes, procedures and use of systems to ensure compliance and the provision of quality support services to the work area.

Work under limited supervision using a high level of initiative to resolve issues, deliver practical solutions and disseminate information which supports business outcomes.

Provide support and administrative duties during emergencies and disasters which may involve short-notice activation and rostering outside of business hours.
