Connections WA is a growing multidisciplinary private practice in Port Kennedy, Perth, WA. We offer services in Psychology and Occupational Therapy. We support children, young people and adults. The team at Connections WA consist of highly motivated people who are committed to making a difference in the lives of others in our community.
We are seeking a caring, detail-oriented Client Care Coordinator to be the welcoming face and organised heart of our practice.

What you will do
Be the first point of contact for new and existing clients via phone, email and in person
Schedule appointments for multiple clinicians
Coordinate waitlists through maintenance of accurate records and details of clients flowing into allocation to clinicians and progression to intake
Verify insurance and assist clients with benefits questions, including NDIS service agreements
Process therapy billings and funding models such as NDIS, private, HICAPS, Medicare
Maintain accurate records and ensure all forms are completed in line with professional standards
Support management and clinicians with administrative tasks, follow-ups and any fulfil any other reasonable duties required
Handle sensitive information with confidentiality and professionalism
What we’re looking for
Essential Experience:
Minimum 1 year of experience in a private allied healthcare setting with Process therapy billings and funding models such as NDIS, private, HICAPS, Medicare.
Systems Experience: Competent in Microsoft 365
Preferred Experience:
Supporting children, teens, and adults in the disability and/or psychosocial sector.
Prior use of client management software such as Halaxy.
Communication Skills: Excellent interpersonal and communication skills, with the ability to tailor interactions to suit clients of different ages, backgrounds, and diagnoses, as well as their families.
Time Management and Organisation: Strong ability to multitask, prioritise, and stay organised in a fast-paced, dynamic environment.
Client-Centred Service: Demonstrated empathy and understanding of psychosocial health needs, with a commitment to delivering exceptional customer service in a professional, sensitive, and compassionate manner.
Professionalism and Confidentiality: High level of discretion, professionalism, and emotional intelligence, with a clear understanding of privacy standards and confidentiality obligations.
Therapeutic Use of Self: Able to appropriately draw on personal insight and experiences to build rapport and empower clients and their families, while maintaining healthy professional boundaries.
Teamwork: Collaborative and flexible, with a willingness to work alongside clinicians, multidisciplinary allied health teams, and clients from diverse backgrounds.
Self-Care Awareness: Committed to sustaining personal wellbeing and resilience, and contributing to a supportive, health-focused workplace culture.
Additional Requirements:
Current First Aid Certificate and CPR competency
Police Clearance and Working With Children Check
Valid Australian driver’s licence and willingness to use own vehicle
