Role Overview
Step into a key role at the heart of Uniting WA’s operations, where your expertise as an Executive Assistant will help drive impactful change.
As the trusted support to our Co-CEOs, you’ll keep things running smoothly across two dynamic leadership styles. If you thrive in an environment where no two days are the same, and you’re skilled at anticipating needs and adapting to shifting priorities, this could be the perfect opportunity for you.
Key Responsibilities:
Project & Event Coordination: Research, develop, and deliver tasks, projects, and events in support of the Co-CEOs and Executive Team. This may include driving initiatives that support organisational strategy and ensuring seamless execution.
Administrative Excellence: Provide high-level support to the Co-CEOs, including diary management, preparing reports, proposals, and Board papers, and scheduling meetings with precision and professionalism.
Travel & Expense Management: Oversee the Co-CEOs' travel arrangements, liaising with travel providers, managing itineraries, and ensuring all travel details are arranged smoothly. You’ll also handle expense claims and reconciliation with accuracy and efficiency.
Stakeholder Engagement & Relationship Building: Build strong relationships with internal and external stakeholders, ensuring that the needs of the Co-CEOs and the Executive Team are met and exceeded.
Adaptability & Prioritisation: The dual nature of this role means you’ll need to juggle multiple priorities. You’ll thrive in this environment by staying organised, anticipating needs, and quickly adapting to urgent requests from both Co-CEOs.
About You:
You are a switched on, proactive individual who excels in dynamic environments. With the ability to anticipate needs and stay one step ahead, you’ll be an essential aide to the Co-CEOs and Executive Team. Your organisational skills and attention to detail are unmatched, and you have the maturity to handle sensitive matters with discretion. You know how to take initiative, prioritise effectively, and respond quickly to the evolving needs of the organisation.
You’ll bring:
Similar Experience: Previous experience as an Executive Assistant, Project Coordinator, or in a similar role within the not-for-profit, government, or social services sector.
Project Management & Analytical Skills: You’ll have experience managing multiple tasks simultaneously, with strong critical thinking and problem-solving abilities to deliver high-quality results. Additionally you should be a self-starter who can make decisions autonomously as needed, utilising sound judgement skills.
Exceptional Communication Skills: Your written and verbal communication skills are top-notch, enabling you to prepare professional reports, proposals, and correspondence for internal and external audiences.
Attention to Detail & Time Management: You thrive on organisation and can manage complex calendars, travel schedules, and expenses with ease, ensuring that nothing slips through the cracks.
Tech-Savviness: Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint) and experience with travel booking systems or expense claim platforms.
Professional Qualifications: Tertiary qualifications and a commitment to ongoing professional development.
