ROLE OVERVIEW

In this role, you will nurture ARTRAGE’s valuable relationships with existing and new artists and venues, and support them in achieving their festival goals, from registration to the completion of their festival journey and beyond.

This role requires an eye for detail, exceptional communication skills, and a knowledge of effective comms and marketing strategies to help a diverse community of participants at all career stages (from artists and venues new to FRINGE WORLD to those who’ve been with us for years).

In this role, you will help build awareness and education about the workings of an open-access festival by ensuring our education resources are current. You’ll manage the participant Facebook group and e-news campaigns and be the key contact for answering all artist and venue inquiries.

Lastly, you will be a chameleon, easily adapting to an ever-changing and dynamic festival environment, and adept at prioritising conflicting tasks and meeting tight deadlines.

ROLE DUTIES

Program & Artist Community Support, Communications

Cultivate and maintain relationships with venues, artists, producers, presenters and the wider arts sector by promptly answering calls and responding to Freshdesk and email inquiries.

Manage and monitor the Participant Facebook Group, posting updates and responding to comments in accordance with the communication guidelines.

Manage our e-news campaign sent throughout the year to participants

Help support the Program Manager with the Artist and Venue Hotline administration during the Festival.

Provide administrative support to participants maintaining a high level of service by helping them complete their registrations in the Artist and Venue Registration system (AVR)

Proof and approve venue registrations, ensuring venues have clear information to support participants in finding a suitable venue.

Undertake tasks to help prepare for events to go on sale, including event proofing with exceptional attention to detail.

Support the creation and delivery of participant communications and resources, including implementing the design of the information packs sent throughout the year.

Coordinate and present participant services initiatives alongside the Program Manager.

Facilitate the bookings of Auslan Interpreted and Audio Described shows.

Support the Program Manager in delivering the programming department’s Access & Inclusion Plan responsibilities.

Work with the Program Manager to resolve any complaints that arise from participants.

Support the promotion of the FRINGE WORLD program, working with the Program Manager and Senior Producer to recommend shows to marketing for E-news, Fringefeed articles, Friends Night Out and other promotions.

Systems, Reporting & Administration

Manage administrative tasks for participants, including contacting participants for missing information and coordinating the issuing of visa support letters.

Maintain the Program Team resources and training materials in Knowledge Base, updating information to ensure relevancy and accuracy.

Support the administration of issuing contracts to Presenters through Adobe Sign.

Assist with the testing, updates and delivery of the Artist & Venue Registration System (AVR). Maintain a thorough understanding of the AVR Registration System to support participants and assist other ARTRAGE team members with use of the system.

Support the updates of internal systems upkeep.

Setup and coordinate the purchasing of artist and venue advertising opportunities.

Prepare, and proof settlement reports, ensuring settlements are processed within the required timeframe.

Support the Program team with the processing of invoices.

Work with the Ticketing Department to support participants in using the Red61 Ticketing system features including facilitating the Red61 FOH app use and navigating the ticketing reporting site.

Team & Development

Help the Program Manager in the onboarding of seasonal Programming staff.

Maintain clear communication with the Program Manager, escalating any issues or problems as they arise.

Foster the development of positive and communicative working relationships, both within the ARTRAGE organisation and with external stakeholders.

Other Duties

Undertake any other duties assigned by the ARTRAGE Management Team, which might reasonably be deemed to be within the scope of the role and having regard for the skills and qualifications relating to the role.

Support administration tasks for other events managed by ARTRAGE.

SKILLS & EXPERIENCE REQUIRED

Proven ability in relationship management and community growth

Excellent written and verbal communication skills

Knowledge of social media platforms, Mailchimp and Canva.

Excellent attention to detail

Ability to work well both autonomously and as part of a team

Ability to adapt in a fast-paced environment

Highly proficient at prioritising competing deadlines

Strong knowledge of Office Suite (Excel, Word, Outlook)

Knowledge of a work management tool, such as Asana (desirable, not essential)

Arts industry and/or Festival experience (desirable, not essential)
