You hold a Bachelor's degree in Healthcare Administration, Nursing, Business, or a related field, with a deep passion for health equity and improving care for Aboriginal and Torres Strait Islander peoples. You have experience in project coordination or program support within healthcare, particularly in rural and remote areas. You possess a solid understanding of healthcare standards and regulatory frameworks, and are committed to enhancing surgical services in these communities. You work autonomously, make sound decisions, engage positively with clinical and operational teams, and are willing to travel across Northern Territory and Queensland.

About the job:
Reporting to the National Manager, Surgical Services, the Health Program Coordinator is responsible for supporting the full scope of program management activities. This includes coordinating and attending surgical services trips across the Northern Territory and in Far North Queensland, program meetings, managing documentation and reports, organising practical logistics (such as travel and invoicing), and assisting with stakeholder communications to ensure that surgical service initiatives are delivered on time, meet quality standards, and align with organisational goals.

What does excellence look like in this role?

Enhanced Stakeholder Engagement: Facilitate proactive and clear communications with clinical leads, senior clinicians, front line workers, and external partners, ensuring that all project activities reinforce positive relationships and support service agreements.

Cultural Safety: Ensure engagement with Aboriginal and Torres Strait Islander peoples and organisations is conducted in accordance with the principles of cultural safety.

Precision in Project Documentation: Maintain and manage critical program records, data analyses, and reports that enable informed decision-making and demonstrate transparency, thereby reinforcing trust and accountability in delivering surgical services.

Timely and Cost-Effective Project Delivery: Support the development and execution of detailed project plans—including scheduling, risk, quality, and communication strategies—that ensure each initiative reaches its milestones on time and within budget, ultimately expediting access to care in remote regions.

Compliance with Service Standards: Ensure all project activities adhere to quality improvement initiatives, ISO 9001:2015 accreditation standards, and Workplace Health and Safety policies, thereby ensuring that all projects meet the highest levels of safety and clinical excellence.

Business Development Support: Contribute to the scoping of new projects and the development of competitive proposals, thereby aiding in business growth through successful grant and tender applications.

Clinical Team Coordination: Assist with the recruitment, onboarding, and scheduling of clinical teams engaged in our surgical services, ensuring optimal operational performance to ensure that skilled healthcare providers are efficiently deployed to remote and high-need areas, fostering a collaborative environment that consistently prioritises patient wellbeing.

What competencies are required to deliver excellence?

Organisational Mastery: Excellent planning and scheduling skills—capable of coordinating meetings, travel, invoicing, and other project logistics without oversight.

Effective Communication: Strong written and verbal communication skills that enable you to clearly convey project information, support stakeholder management in particular bridging the gap between clinical, administrative and community stakeholders, to ensure effective cross-functional interactions. Experience in communication and collaboration with Aboriginal and Torres Strait Islander peoples, communities and organisations is desirable. Demonstrated understanding of cultural identity, practices and methods of engagement; culturally safe care and communication.

Analytical Acumen: Skilfully collect, analyse, along with tracking and interpreting data to monitor program performance, identify improvement opportunities, and adapt strategies that ensure program deliverables are achieved.

Attention to Detail & Compliance: A meticulous approach to managing documentation and processes, ensuring adherence to quality management systems, regulatory standards, and internal protocols that safeguard patient and staff wellbeing

Adaptability & Innovative Problem Solving: Thrive in a fast-paced environment by quickly adjusting to emerging challenges and devising creative solutions that keep programs on track and responsive to the unique needs of each program area.

Cultural Competence: Possess the sensitivity and awareness required to effectively interact with people from diverse cultural backgrounds, particularly Aboriginal and Torres Strait Islanders, fostering trust and collaboration in communities.
