Relieving Team Administration Assistant Industrial– 12 month - Fixed Term – Part Time (0.6 FTE, 3 days per week, Monday, Tuesday & Wednesday)

Pro rata salary: $53,646 ($84,938 full time equivalent)

Fixed term, part-time position.

We are seeking a proactive and service orientated Relieving Team Administration Assistant – referred to internally as a Relieving Industrial Professional Assistant – to provide high-level administrative and diary management support to a team of industrial professionals, ensuring that all administrative needs of the team are handled with efficiency and professionalism on a day-to-day basis. This role is being offered on a fixed term, part time basis to provide Parental Leave backfill.

Above the Relieving Industrial Professional Assistant Role

As the Relieving Industrial Professional Assistant, you will provide support to teams of industrial professional staff, delivering comprehensive administrative and calendar management assistance while engaging regularly Branch staff and ANMF members. The Relieving Industrial Professional Assistant provides leave coverage for Team Industrial Professional Assistants, offering a unique opportunity to work across all industrial teams within the Branch.

Some of the varied day to day tasks include:

Screen, monitor and process all incoming and outgoing correspondence, emails, calendar entries and phone calls proactively and in a timely manner for the team. This includes tracking and following up on responses required.

Prepare, proofread and format industrial, legal and professional documents and correspondence.

Assist with member correspondence and mail outs and prepare hard copy files including printing, photocopying, collating and binding documents.

Schedule and organise meetings, visits and appointments for the team, including securing venue and accommodation bookings, updating calendars, preparing and sending appropriate notices and reminders and preparing any materials required.

Use membership engagement system to update member details, manage data and run reports as required.

Key selection criteria

You will have:

Availability to work the required workdays of Monday, Tuesday & Wednesday.

Demonstrated experience in providing extensive administrative support to a team. Minimum 5 years’ experience is desirable.

Demonstrated advanced interpersonal and communication skills, including experience in dealing with customers, stakeholders or members in a professional, proactive and responsive way.

Strong spelling and grammar skills with extensive experience preparing, proof reading and formatting documents and correspondence.

An understanding of Fair Work processes that are relevant to the Assistant role or the ability to quickly understand responsibilities.

The ability to work as a productive and collaborative team member and be flexible and responsive to changing needs and work volumes.

The capacity to be confidential, discreet and tactful as well as have personal drive and integrity.

Demonstrated ability to prioritise work, effectively manage time and organise as required to successfully complete tasks, working under pressure and in an environment of competing priorities.

Skilled and adaptable in technology and software including:

Intermediate to advanced Microsoft Office (Outlook, Word, PowerPoint, Excel)

Adobe acrobat

Membership engagement systems

Online meeting tools e.g. MS teams

A demonstrated commitment to Trade Union movement.

Please Note: it is mandatory for all ANMF (Vic Branch) staff to have the following:

Three COVID-19 vaccinations,

Flu Vaccination in the previous 12 months (or be willing to obtain),

You will be required to provide immunisation evidence prior to commencement.

Remuneration package includes:

Annual salary of $53,646 pro rata per annum ($84,938 full time equivalent) plus 16.5% Super
