Role Overview:

An exciting opportunity for an experienced Project Manager to lead the implementation of a new Human Resources Information System (HRIS) and payroll system for a professional services organisation impacting 500 employees, based in Sydney's CBD. This role involves managing the project end-to-end, including planning, requirement gathering, vendor selection, implementation, configuration, data migration, user training, and go-live. The successful candidate will ensure smooth integration with existing systems and work closely with HR, IT, and other stakeholders to meet business needs and project deadlines. The role requires a Project Manager who has strong experience with HRIS and Payroll Implementations.

Key Responsibilities:

Stakeholder Collaboration:

  • Engage with internal stakeholders to understand current system operations and define new system requirements for HRIS and Payroll.

Requirements Documentation:

  • Develop a comprehensive requirements document outlining essential functionalities, data integrity, and system integration needs.

Vendor Selection:

  • Design and execute a vendor selection process.
  • Work with consultants to identify potential vendors.
  • Conduct an RFP process to select a vendor that meets CBP's requirements.

Project Planning and Execution:

  • Create a detailed implementation plan, including timelines, milestones, resource allocation, and budget management.
  • Define implementation scope and gather requirements from HR, Finance, and business stakeholders.
  • Manage system configuration and customisation to align with organisational processes.
  • Provide regular project status reports to key stakeholders.
  • Identify, document, communicate, track, and resolve issues to meet project objectives.
  • Coordinate testing phases (functional, integration, user acceptance) and address identified issues.

Vendor Management:

  • Collaborate with the HRIS and payroll software vendor to address implementation challenges.
  • Negotiate contracts and manage vendor relationships.

Stakeholder Management:

  • Facilitate communication and collaboration between HR, Finance, payroll, IT teams, and other internal stakeholders.
  • Manage change management initiatives to ensure smooth user adoption of the new system.

User Training and Support:

  • Develop and deliver comprehensive user training materials and workshops.
  • Provide ongoing support to users during the post-implementation phase.

Essential Competencies:

  • Proven experience in HRMS/HRIS/Payroll implementation, preferably as a project manager (ideally 2 full life cycle implementations).
  • Demonstrated experience in developing, implementing, and managing web-based systems.
  • Deep knowledge of HR and payroll systems, processes, and practices.
  • Strong project management skills, including planning, resource management, risk management, change management, and budget management.
  • Excellent communication and stakeholder management skills, with the ability to engage with all functional areas of the business, including IT, Finance, and HR.
  • Strong interpersonal skills, with the ability to develop and sustain strong business partnerships with internal and external stakeholders.
  • Ability to work independently and within a team.
