We are seeking a highly motivated and experienced Accounts Administrator to join our team and play a vital role in our continued success. If you are you an experienced and detail-oriented administrator with strong accounts and communication skills, a collaborative spirit, tech-savviness (especially with Xero), and a desire for a long-term role, we would love to hear from you.

About the Role

As a key member of our administrative team, you will be responsible for managing accounts payable and receivable, ensuring the smooth flow of financial operations within our office. You will also play a crucial role in maintaining subcontractor compliance and assisting with general administrative tasks.

This full-time opportunity is based in our Tweed Heads office, with standard business hours from 8:30 am to 5:00 pm, Monday through Friday.

Your responsibilities will include:

Accounts Payable: Receiving and processing subcontractor and supplier invoices for payment.

Accounts Receivable: Raising construction invoices and liaising with clients and financiers, following up on payments within contractual timeframes.

Construction Meetings: Attending weekly construction meetings and booking in clients for site meetings at each stage of construction/invoicing.

Subcontractor Compliance: Managing and tracking subcontractor documents, including subcontract agreements, insurances, and safety plans to ensure workplace health & safety compliance.

Software Utilisation: Utilising Google Workspace Platform (Gmail, Calendar, Tasks, Meet) and G.J. Gardner Homes software for efficient communication and task management.

Xero Accounting: Utilising Xero accounting software for accurate financial record keeping.

Administrative Support: Assisting the Office Manager and Administration Team with tasks such as preparing site files, subcontractor purchase orders, and client handover packs.

General Office Administration: Performing general office duties, including answering phones, filing, and archiving.

About You

Experienced Administrator: You have proven experience in an accounts and administrative role, with relevant or similar industry experience being highly advantageous.

Team Player: You are a solid team player with the ability to build rapport and mutual respect with clients, subcontractors, suppliers, and office team members.

Organised and Accurate: You are organised, systematic, and demonstrate a high level of accuracy and attention to detail.

Excellent Communication: You have an energetic and positive demeanour, with an excellent telephone manner and a smart professional appearance.

Efficient and Proactive: You are able to work in a fast-paced environment, effectively applying time management skills to a diverse range of tasks.

Tech-Savvy: You possess solid computer and administrative skills, with experience in Xero software being highly advantageous.

Long-Term Mindset: You are looking for a long-term role in a full-time capacity and want to be part of a team that enjoys working together, values each other, and is accountable to one another.
