Client Concierge / Practice Manager – Part-Time, CBD-Based (3 Days/Week)

Are you confident on the phone, highly organised, and great with follow-up?
We’re a boutique financial advice firm in the Melbourne CBD specialising in retirement, aged care and Centrelink. We’re growing fast and looking for a client-facing coordinator to be the first point of contact for our clients — most of whom are older Australians navigating complex decisions.
This is a part-time role, perfect for someone with experience in professional services (financial planning, mortgage broking, law, or accounting) looking for meaningful work during school hours, 3 days a week in the office.
What You’ll Be Doing
Answering and triaging client calls — keeping things moving without needing to escalate everything.
Following up on client tasks — chasing missing documents, booking meetings, managing check-ins.
Being the calm in the storm — translating client questions into action steps for our back office team, acting as the liaison.
Managing delivery workflows — using HubSpot to track activity and keep each client file humming.
Owning the inbox and client experience — professionally responding to “Where are we at?” moments.
What We’re Looking For
Excellent phone manner — calm, warm, and clear, especially when speaking to older clients.
Native-level written and verbal communication skills — you can explain financial next steps in plain English without sounding robotic.
Professional services experience — you’ve worked in finance, legal, mortgage broking, or similar.
Tech comfort — you’re familiar with CRMs (HubSpot ideal), Microsoft 365, Zoom and Teams.
Highly organised — you know how to keep plates spinning, spot the gaps, and get things done without needing your hand held.
