About the Role:
As our Administrative Assistant & Booking Agent, you will play a crucial role in the smooth daily operations of our office. This multifaceted position combines general administrative responsibilities with managing service and test drive bookings, ensuring a seamless experience for our valued customers. You will be an integral part of a supportive team, contributing to our overall success.

Key Responsibilities:

Booking Management:

Efficiently handle incoming and outgoing calls and inquiries regarding service and vehicle inspection appointments

Manage and maintain the booking schedule, ensuring optimal appointment allocation and minimising conflicts.

Confirm appointments with customers and mechanics providing necessary pre-appointment information.

Follow up with customers regarding appointment reminders and rescheduling as needed.

Maintain accurate and up-to-date booking records in our system.

Report Completion:

Assist in the preparation and completion of various administrative reports (e.g., booking summaries, customer feedback, sales support data).

Gather and organise data from different sources to contribute to report accuracy.

Ensure timely submission of completed reports.

General Administrative Tasks:

Provide general office support, including managing phone calls, emails, and correspondence.

Maintain and organise office supplies and equipment.

Assist with data entry, filing, and record-keeping.

Schedule meetings and manage meeting room bookings.

Process incoming and outgoing mail.

Assist with general inquiries from staff and visitors.

Team Collaboration:

Work collaboratively with other team members to achieve shared goals.

Provide support to other departments as needed.

Contribute to a positive and supportive team environment.

Communicate effectively with colleagues to ensure smooth workflow.

Qualifications and Skills:

Proven experience in an administrative role, ideally with some experience in booking or scheduling.

Excellent communication skills, both verbal and written, with a professional and customer-focused approach.

Strong organisational and time management skills with the ability to prioritise tasks effectively.

Proficiency in using computer software, including Microsoft Office Suite (Word, Excel, Outlook). Experience with booking systems or CRM software is an advantage.

High level of accuracy and attention to detail.

Ability to work independently and as part of a team.

A proactive and positive attitude with a willingness to learn.

A genuine interest in the automotive industry is a plus.
