About the role
We are seeking an organised and proactive team member to support our outpatient services. In this role, you will:
- Coordinate patient appointments and clinic schedules, managing booking changes, cancellations, and logistics such as transport and interpreter services, especially for patients with special needs, including veterans and rural residents.
- Provide high-quality front desk and reception services, including answering calls, confirming patient details, liaising with healthcare teams, and delivering excellent customer service in a busy clinical environment.
- Maintain accurate patient records and documentation, using electronic medical systems to input test results, prepare correspondence, and ensure proper filing and recordkeeping across multiple clinics and services.
- Support medical staff and clinical trials, by preparing and forwarding medical records, managing mail and faxes, coordinating medication approvals, and ensuring timely data handling for research and reporting.
- Assist with general administrative duties, including managing supplies, maintaining procedure manuals, handling in/out trays, and providing reception relief when needed, contributing to the smooth operation of the department.
About you
To succeed in this role, you will bring:
- Proven experience in healthcare administration, with a solid understanding of clinical workflows and patient-facing services in a hospital or medical setting.
- Strong organisational and time management skills, with the ability to prioritise tasks, meet deadlines, and manage competing demands in a busy environment.
- Excellent communication and interpersonal skills, both written and verbal, with the confidence to interact professionally with patients, families, and multidisciplinary teams.
- Confidence using technology and software, including Microsoft Office (Word, Excel), electronic medical records, and systems like Medicare HPOS.
- A professional and self-motivated approach, with demonstrated public relations skills and the ability to work independently while contributing to a collaborative team culture
