Urbanaide Property, a dynamic and fast-growing company, is seeking an experienced Program or Project Administrator to join our professional team. This is an exciting opportunity to play a pivotal role in delivering high-quality projects while ensuring operational efficiency. The ideal candidate will have strong organizational skills, a proven track record in project administration, and the ability to manage competing priorities in a fast-paced environment. Your role includes but are not limited to the following:

Develop, review, and negotiate variations to contracts, ensuring alignment with project goals and regulatory requirements.

Conduct regular site inspections and reviews to verify that all work is performed according to the project plan and contractual agreements. Identify deviations from the agreed scope and take prompt action to address issues as they arise.

Support project cost forecasting exercises to predict and manage project expenses effectively.

Assist with the valuation and processing of monthly progress claims.

Provide administration support, including stakeholders documentation, client approvals, and necessary financial approvals related to cleaning service projects, ensuring all requirements are met for timely project commencement.

Facilitate the onboarding of suppliers and trades as required.

Respond to and manage customer enquiries, ensuring timely and effective resolutions.

Reschedule jobs based on priority and/or high-volume events to meet client and customer requirements, including rostering of staff and trades.

Ensure client contractual and compliance expectations are consistently met.

Responsible for job processing, invoice management, archiving, and general project-related duties.

Assist in strategic decision-making to ensure objectives are achieved within designated timeframes and budget constraints.

Prepare specialized reports for stakeholders, including clients, contractors, and regulatory bodies. Ensure timely and accurate submission of all reports to support informed decision-making.

Requirements - capabilities and competencies

Minimum 1 year’s experience as a Project Coordinator or similar role.

Qualification in Business Administration is required.

Proven track record of contributing to project delivery within specified schedules, budgets, and customer expectations.

High level of data entry skills with speed and accuracy.

Ability to work collaboratively and contribute effectively within a team environment.

Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Strong ability to organize and prioritize tasks under pressure to meet deadlines.

Exceptional time management and prioritization skills.

Excellent written, verbal, and interpersonal communication skills with the ability to liaise professionally with diverse stakeholders.

Mandarin-speaking skills are advantageous.
