Purpose of the position
The purpose of this position is to provide assistance to the Executive Team to carry out operational and administrative duties across a growing, busy trade business.
Responsibilities & duties
Responsibility 1 – Act as the point of contact between the Executive Team, screen and direct phone calls and correspondence.
Responsibility 2 – Manage calendar and set up meetings, including making travel and booking arrangements as required. Ensure Executive Team is prepared for upcoming meetings and tasks and process invoices, receipts and payments as required.
Responsibility 3 – Assist Executive Team with research and document preparation across Legal, HR, Finance and Insurance for the company.
Responsibility 4 - Completing sensitive tasks like invoicing, reconciliations and other financial related tasks. Experience with Xero, APs and ARs is required.
Responsibility 5 – Organise and maintain company filing system, company documents, assisting with tenders and improving organisation across the business.
Responsibility 6– Assist with the HR function of the role, preparing and collating documents, ensuring insurances are up to date, WHS requirements are met and contracts are completed correctly with accurate data storage and accuracy.
Responsibility 7– Actively help improve customer service and operations across the company by filling in and taking charge when the CEO is busy.
Responsibility 8 - Supporting projects, personal tasks and other ad hoc duties as required.
Work experience & skills
Proven experience in similar role, especially experience working in a small trade business
Excellent computer skills with an ability to become proficient with company software and programs
Advanced office and administration skills
Essential qualities or behaviours
You will have a proven abilIty to work autonomously, proactively establish priorities and take responsibility for time sensitive deliverables.
Your strong communication and organisational skills will be an asset - as will your attention to detail, initiative and talent to engage with a diverse range of companies.
Drive and resilience to work well under pressure
Willingness to undertake ongoing training and up-skilling
Ability to build and maintain strong relationships across all levels of business
Able to work independently and display initiative
Current and valid driver licence
