Warehouse Manager | Eagle Farm

Position Summary:

The Warehouse Manager is responsible for overseeing the efficient receipt, storage, and dispatch of goods, including the management of a customs bonded warehouse. This position entails ensuring compliance with customs and biosecurity regulations, overseeing staff performance, and optimizing warehouse processes for maximum productivity and customer satisfaction. The role also includes labour planning and cost control to ensure efficient use of resources and operational profitability.

Key Responsibilities:

1. Warehouse Operations Management

Plan, organize, and oversee daily warehouse activities, including receiving, storage, picking, packing, and dispatching of goods.

Ensure that all operations are carried out in a timely and accurate manner, meeting deadlines and customer expectations.

Monitor inventory levels and ensure accurate stock management, including stocktaking and regular cycle counts.

Implement and maintain efficient layout and utilization of warehouse space.

2. Customs Bonded Warehouse Management

Ensure full compliance with customs and biosecurity regulations for bonded goods, including maintaining the security and integrity of goods under bond.

Liaise with customs and biosecurity officials and ensure proper documentation for the storage and movement of bonded goods.

Manage bonded stock records and ensure accurate reconciliation of bonded inventory with customs records.

Oversee the timely processing of bonded cargo, including clearance and release from the warehouse once duties are paid.

Implement systems to track the inflow and outflow of bonded goods, ensuring full accountability and control over bonded inventory.

3. Labor Planning and Resource Management

Develop and manage labour plans based on operational needs, ensuring adequate staffing levels for peak periods while minimizing overstaffing during slower times.

Create shift schedules and assign duties to ensure optimal labour productivity and workload distribution.

Monitor staff utilisation and ensure that labour costs are aligned with operational output.

Adjust labour allocation based on forecasted order volumes and delivery schedules to control overtime and temporary staffing expenses.

Track and analyse productivity per employee, identifying opportunities for improvement in labour efficiency.

4. Cost Control and Budget Management

Develop and manage the warehouse budget, including labour, equipment, materials, and other operational costs.

Monitor operational costs and identify areas where efficiencies can be gained to reduce expenses.

Work with the finance department to provide accurate cost forecasts and expenditure reports.

Implement strategies to control costs without compromising the quality of service, such as optimising warehouse layouts, reducing waste, and improving inventory accuracy.

Review vendor contracts and negotiate favourable terms for outsourced services, equipment, and materials.

5. Staff Supervision and Development

Lead, train, and manage warehouse staff, ensuring high levels of motivation and productivity.

Set performance goals and regularly review team performance through KPI tracking.

Schedule and allocate tasks and shifts for warehouse personnel.

Provide coaching and support to ensure adherence to operational procedures and quality standards, including customs regulations.

Encourage continuous learning and professional development for warehouse staff.

6. Health & Safety and Compliance

Ensure the warehouse is following all safety regulations and that team members are trained in safe work practices.

Conduct regular safety audits and risk assessments to prevent accidents and injuries.

Maintain cleanliness, organisation, and security of the warehouse.

Ensure compliance with all regulatory requirements, including customs regulations, local safety laws, and environmental standards.

7. Inventory and Stock Control

Oversee the accuracy and integrity of stock management systems, including physical stock counts and reconciling discrepancies.

Track key metrics related to inventory accuracy, turnover rates, and shrinkage.

Implement measures to optimise inventory processes and reduce waste, damage, and losses, with special attention to bonded stock

8. Continuous Improvement and Reporting

Identify and implement process improvements to enhance efficiency, reduce costs, and improve overall warehouse operations.

Prepare regular reports on warehouse performance, KPIs, bonded stock levels, and customs compliance issues for senior management.

Utilise warehouse management software (WMS) and other technologies to improve accuracy and efficiency, particularly for tracking bonded goods.

Key Performance Indicators (KPIs):

Order accuracy and fulfillment rates.

Inventory accuracy and stock turn, including bonded goods reconciliation.

On-time delivery performance.

Customs compliance (e.g., accurate and timely customs documentation, adherence to customs regulations).

Warehouse safety record (e.g., number of incidents).

Labor efficiency (e.g., productivity per hour, labour costs vs. operational output).

Warehouse operating costs (e.g., cost per order, cost of labour, cost of materials and cost of storage).

Staff performance and retention rates.

Skills and Qualifications:

Essential:

Experience: Minimum of 3-5 years of experience in a warehouse management role, including labour planning and cost control, with specific experience managing a customs bonded warehouse.

Customs Knowledge: Strong understanding of customs regulations, bonded warehouse operations, and biosecurity regulations.

Leadership: Proven experience managing and leading a team in a fast-paced environment.

Cost Control Skills: Experience in developing and managing budgets, controlling operational costs, and optimising resource allocation.

Technical Skills: Proficient in warehouse management software (WMS) and Microsoft Office (especially Excel).

Safety and Compliance: Knowledge of workplace safety requirements and ability to implement safety protocols, along with customs compliance regulations.

Communication: Excellent verbal and written communication skills, particularly with customs officials, logistics partners, and internal teams.

Problem-Solving: Strong problem-solving skills with the ability to resolve customs and logistics issues in a timely and efficient manner.

Physical Fitness: Ability to lift and move heavy items and perform physical tasks as required.

Forklift License: Current forklift license and recent operational experience.

Preferred:

Certification in warehouse management, logistics, or customs procedures.

Familiarity with automated warehouse technologies and bonded inventory systems.

Personal Attributes:

Leadership: Ability to motivate, lead, and develop a team.

Attention to Detail: High level of accuracy in managing stock, customs records, labour plans, and compliance.

Adaptability: Able to thrive in a dynamic and fast-paced environment with changing customs and logistics requirements.

Organizational Skills: Excellent time management and ability to prioritize tasks
