Job Title: Property Administration Officer (The Minders Owners Corporation Caretakers)
Salary: $75,000 - $90,000 subject to experience
About the Role:
We are seeking a detail oriented and experienced Property Administration Officer to manage property matters in Victoria’s largest Owner’s Corporation Caretaking Company. The ideal candidate will have extensive experience in Owners Corporation Management, Property administration or in the Service industry. A strong understanding of Property Services, Contractor liaison and related administration is required. The successful candidate will have a high level of proficiency in Microsoft Office, particularly in Excel, Word and Outlook. This role requires excellent attention to detail, the ability to manage multiple tasks efficiently and strong communication skills.
The company workspace is an open plan office located in Notting Hill/ Mount Waverley. Work hours are 8am- 4pm Monday to Friday.
Candidates selected to participate in the interview process will undergo a basic skills test at the initial interview.
Responsibilities:
· Email Communications: Managing a high volume of daily email communications ensuring efficiency and accuracy in all responses. Managing complex email chains ensuring all relevant parties are fully informed at all times.
· Rosters: Formatting and updating of monthly staff rosters (Excel).
· Property Administration: Property amendments (Word) including adding and removing properties, updating agent details, managing property swaps and changes to servicing requirements.
· Data Entry: Data entry for monthly invoicing.
· Communication and Coordination: Liaise with Franchisees, Owner’s Corporation (OC) agents and internal teams to ensure smooth daily operations and timely resolution of queries.
Role Qualifications & Experience:
· Experience in Property Management, the Service Industry or in a Franchise Business is essential.
· Proficient in Microsoft Office 365 (Excel, Word and Outlook).
· Effective communication skills for interacting with internal teams, Franchisees and OC agents via email and phone.
· Excellent data entry skills with attention to detail, ensuring records are accurate, up to date and compliant with company policies.
· Strong time management skills, able to prioritize tasks and manage multiple responsibilities.
