A respected Melbourne-based wealth management firm is seeking a proactive and detail-oriented Operations Administrator to join its high-performing team. Known for delivering holistic financial solutions, this firm places strong emphasis on service excellence, innovation and team collaboration.

This role plays a vital part in keeping day-to-day operations running smoothly. You will provide essential administrative and operational support across the business while contributing to continuous improvement and process optimisation.

Key Responsibilities

Oversee general office operations and liaise with third-party providers including IT, investment platforms and building management

Support the onboarding and offboarding process for staff and authorised representatives

Maintain shared inboxes, ensure timely responses and follow through on operational queries

Assist senior leadership and the broader operations team with various administrative tasks

Develop and maintain process documentation, templates and workflows

Contribute to continuous improvement initiatives, including reviewing and refining internal processes

Provide relief reception support as required, including client greetings, phone coverage and mail management

Coordinate travel and accommodation bookings and assist with event planning and preparation

About You

A minimum of 3 years’ experience in a financial planning or professional services environment

Strong administration background with high attention to detail and excellent communication skills

Intermediate Microsoft Office skills (Word, Excel, Outlook)

Experience using Xplan is advantageous

High level of professionalism, confidentiality and organisational ability

Comfortable working autonomously while supporting multiple stakeholders

A team player who brings initiative, common sense and a positive attitude
