Job Summary
We are seeking a detail-oriented and customer-focused Workshop Service Assistant to manage and coordinate the booking process for the service and repair of outdoor power equipment. The ideal candidate will be the first point of contact for customers, ensuring their service needs are met promptly and professionally. This role requires very strong administrative skills, excellent communication skills, organisational abilities, and a commitment to delivering exceptional customer service.
Key Responsibilities
· Answer incoming calls, emails, and online inquiries to schedule service and repair bookings.
· Coordinate daily service schedules and assign bookings to the appropriate service technicians.
· Confirm, reschedule, or cancel bookings as needed and keep customers informed of any changes.
· Maintain accurate records of bookings, customer information, and service history.
· Co-ordinate customer deliveries, pick-ups and in-store collection of service / repaired goods.
· Process final payment for repairs on collection or delivery of goods and closure of job in database.
· Provide general administrative duties, including data entry and maintaining job card filing systems.
· Handle customer inquiries and complaints with professionalism and escalate when necessary.
· Perform other administrative tasks as assigned.
· Ensure customer satisfaction by providing prompt, courteous, and knowledgeable assistance.
Requirements
· Minimum 2 years experience in an administrative role or similar.
(Please note that applicants that do not meet this requirement will not be considered for the position).
· Experience in a service or scheduling role, ideally in a mechanical or technical environment is preferred but training is offered to the right candidate.
· Ability to use scheduling software, point-of-sale systems, and Microsoft Office applications.
· Strong communication and interpersonal skills.
· Ability to multitask and work in a fast-paced environment.
· Excellent organisational and time management skills.
· Attention to detail and accuracy.
· A positive and professional attitude.
