About the role

The Payroll Officer is responsible for ensuring the accurate and timely processing of payroll for all employees at Instant Access. This part-time role offers flexibility while requiring a high level of attention to detail, confidentiality, and compliance with all relevant legislation. The Payroll Officer plays a critical role in supporting the company’s financial operations and employee satisfaction.

Key Responsibilities:

Payroll Processing:

Manage the end-to-end payroll process for all employees, including full-time, part-time, and casual staff.

Ensure all timesheets, leave requests, and allowances are accurately entered and processed in accordance with company policies and employment agreements. Calculate and process superannuation contributions, tax, and other allowances and deductions accurately and in a timely manner

Maintain payroll records and ensure compliance with legislative requirements, including Fair Work Act provisions and modern awards.

· Ensure Workers Compensation wages are processed accurately through the Payroll system

· Ad-hoc payroll related queries or tasks as required by Finance Team

Reporting and Reconciliation:

Prepare payroll reports, including monthly, quarterly, and annual summaries for management and external stakeholders.

Reconcile payroll accounts and liaise with the finance team to ensure accuracy in financial reporting.

Manage end of financial year tasks, reports and and reconciliations.

· Reconciliation of Workers Compensation reimbursements and payments

· Follow up on Workers Compensation documentation to ensure Payroll records are accurately maintained

· Assist in the preparation of annual Payroll Budgets

Compliance and Legislation:

Stay up-to-date with changes in payroll legislation, including tax, superannuation, and employment regulations.

Ensure compliance with statutory obligations, including PAYG, superannuation, and leave entitlements.

Employee Support:

Respond promptly to payroll-related queries from employees, ensuring a high level of customer service.

Provide guidance on payslips, leave balances, and entitlements.

System Management:

Maintain and update payroll software, ensuring data integrity and system efficiency.

Key Attributes and Skills:

Attention to Detail: Demonstrates precision in processing and reconciling payroll transactions.

Time Management: Effectively prioritises tasks to meet strict deadlines.

Confidentiality: Maintains discretion and ensures sensitive employee information is handled securely.

Technical Proficiency: Familiarity with payroll software, Microsoft Excel, and STP reporting.

Customer Service Orientation: Provides clear and supportive communication to employees.

Legislative Knowledge: Strong understanding of Australian payroll legislation and compliance requirements.

Qualifications and Experience:

Proven experience in payroll processing (ADP Payforce, Lyric, Kronos/Realtime desirable but not essential), preferably within the construction or scaffolding industry.

Familiarity with awards, enterprise agreements, and industry-specific pay structures.

Certificate in Payroll Administration, Finance, or related field (preferred but not essential).
