Casual Medical Secretary / Assistant Practice manager – Best Brains and Minds

Best Brains and Minds Specialist Psychiatry Practice in Hornsby NSW providing high quality, cutting edge excellent mental health care in NSW and beyond. We are one of the best private mental health service providers in Sydney. The patient satisfaction and positive outcomes we achieve for our patients are extremely high.

We are seeking enthusiastic, empathetic, and efficient medical secretary to join our team on casual basis, leading to a permanent position. The post holder will have the opportunity to progress in to an assistant practice manager level. This position requires self-discipline, motivation, team spirit and a passion to serve people with mental health needs.

Prior experience in mental health area is desirable.

Proficiency in good computer and telephone skills are mandatory and prior experience in using Gentu software is desirable.

16 - 20 hrs per week (which may include Saturdays) are available.

The service is entirely patient focused. The service recognise the importance of good health, wellbeing and continuous professional development of all the staff members in providing the excellence in service our patients deserve.

Duties and Responsibilities:

• Welcoming patients and visitors, answering the telephone and answering any inquiries.
• Promoting the business to prospective patients and guiding them through the booking in process.
• Maintaining professional standards in the workplace.
• Scheduling appointments and facilitating good time management during clinic sessions.
• Assisting patients with completing necessary forms and documentation.
• Keeping a clean and calm reception area.
• Processing billing and payments, using medical software.
• Liaising with Medicare and private health funds.
• Faxing, scanning, filing, and mailing documentation.
• Comforting distressed patients – this may range from simply fixing any appointment issues that may arise, through to being the voice of comfort during times of extreme stress and emergency.
• Monitoring and ordering stationery and clinical supplies.
• Booking and organising other appointments and commitments for staff.
• Maintaining information confidentiality at all times.
• Liaising with other medical specialists, General and psychologists with professionalism and discretion.
