We are seeking an experienced and highly organised Executive Assistant for a 12-month maternity leave cover to support a busy Financial Advisor in both professional and personal capacities. This is a dynamic role requiring a proactive individual who is comfortable managing a broad variety of tasks – from calendar and inbox management, to client liaison, document preparation, and occasional personal errands.

You will be the right-hand support, ensuring the smooth running of day-to-day operations in a fast-paced environment where confidentiality, discretion, and attention to detail are paramount.

The role is onsite Monday to Friday 8:00am - 5:00pm commencing on the 2nd June 2025

Key Responsibilities:

Executive Support:

Manage a busy and evolving calendar, including client appointments and internal meetings

Prioritise and respond to incoming communications (emails, phone calls, messages)

Prepare documentation, reports, and presentations for client meetings

Liaise with clients and stakeholders on behalf of the Financial Advisor

Maintain accurate client records and ensure compliance with internal and industry standards

Assist in managing deadlines, follow-ups, and workflow priorities

Personal Assistance:

Manage personal appointments and logistics as required

Assist with travel arrangements, event planning, and ad hoc tasks

Support household administration and errands as needed

What We’re Looking For:

Proven experience as an Executive Assistant or Personal Assistant, ideally in professional services

A background in legal administration or strong familiarity with legal documentation is highly regarded

Understanding of financial services, particularly in lending and credit processes, is highly desirable

Exceptional communication and interpersonal skills

High level of discretion and confidentiality

Proficiency in Microsoft Office Suite and/or CRM platforms

Strong organisational skills and the ability to manage multiple priorities with minimal supervision

Qualifications & Experience:

5+ years in an Executive Assistant or similar role

Legal or financial services sector experience strongly preferred

Relevant qualifications in business administration or related fields a plus
