Job Description
Responsibilities
As an Administration Assistant you will carry out administrative work on behalf of the management team at Austand elevator .
The role of the Administration Assistant is to free the executive team from administrative duties so that they can maximise their time spent on strategic tasks.
Administrative Duties
Acting as the first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for the attention of the management team at Austand Elevators.
Managing diaries and organizing meetings and appointments.
Booking and arranging travel, transport, and accommodation.
Conferring with customers and suppliers to arrange shipping and other logistics.
Organising events and conferences.
Reminding the manager/executive of important tasks and deadlines.
Typing, compiling and preparing reports, presentations and correspondence.
Managing and maintaining databases and filing systems.
Implementing and maintaining procedures/administrative systems.
Liaising with the management team, suppliers, local and interstate clients and sub-contractors.
Maintaining, preparing and collating finances and financial reports.
· Ordering office supplies and equipment and managing mail and courier services.
· Maintaining office facilities and ensuring a clean and organized workspace.
Personal assistant skills
Discretion and trustworthiness in relation to confidential information.
Excellent oral and written communication skills.
Organizational skills and the ability to multitask, to be proactive and take the initiative.
Flexibility, adaptability, tact and diplomacy.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) and the ability to learn company-specific software if required.
