A dedicated support team for a vibrant young lady in the Redlands area is looking for an Administrative Assistant and a Scheduling Manager. These are 2 separate roles, however, could be combined into the one position for the right candidate.
The roles require:
- Developing an understanding of the young lady and her family
- Knowing the young lady’s situation well and being respectful of her home life
- Building a relationship with the Team Leader
- Building rapport with the support staff
- Participating in team meetings
- Providing bi-monthly reports (and presenting at team meetings as required)
Admin Support Role:
This role provides administrative support to all members of the support team to ensure staff are adequately prepared to commence work. Admin support manages all necessary documentation for onboarding, training, inductions and professional development and works closely with the Team Leader and Recruitment Officer.
Admin Support - Key Duties:
- Develop a relationship with the Team Leader and support staff
- Disseminate induction, onboarding and training materials for new recruits
- Provide administrative support to onboard new support staff
- Monitor deadlines and ensure staff complete, sign and return all necessary documentation
- Ensure all new staff are linked to Microsoft Teams
- Disseminate SharePoint folders and files as part of the information bank for support staff
- Allocate professional development materials to the team as required
- Provide staff with prompts for reading material provided in Sharepoint and Timetree memos
- Communicate the completion and submission of all documentation to the Team Leader and Family
Scheduling Manager
The role of the Schedule Manager is to ensure seamless supports and transitions across all aspects and activities in the young lady’s life, as well as swift responses to essential communication regarding any changes and flow-on affects.
Scheduling Manager - Key Duties:
- Maintain a Roster of Personal Support
- Secure and arrange buddy shifts for new team members
- Ensure new staff experience the broader aspects of the young lady’s life
- Respond swiftly to requests for leave, absences or illness
- Find alternative support staff to fill vacant shifts in a timely manner
- Develop rapport with Support Staff to understand their arrangements, needs and commitments
- Communicate changes to any activities and where necessary reschedule or cancel
- Provide assistance to the young lady, her family, the Team Leader and Support Staff to manage schedules that ensure her support needs are met and her lifestyle maintained
- Navigate and manage appointments or shifts that are affected by any short notice changes
- Notify support staff of any scheduled visits from tradespeople and whether attendance is required.
Essential Qualities:
- Excellent time management and organisational skills
- Reliable, punctual, responsive to communication
- Trustworthy and honest
- Able to work in a collaborative and supportive way within a team
- Sound interpersonal skills, including the ability to communicate effectively with a range of people and in a variety means in a timely manner
- The ability to rapidly adapt to different situations, support arrangements and services.
- Proficiency in adhering to established processes with accuracy and consistency
- Knowledge of, and capabilities with, development and use of adaptive technology and software such as visual calendars etc.
Highly Regarded:
- Demonstrated commitment to social justice principles, including a respect for and commitment to the rights of people with disability and their families.
- Understanding the impact of disability and vulnerability
Hours: Up to 10 hours per week (however, hours fluctuate in relation to what is needed week to week)
Pay Rates:
- Admin Support role - $35 per hour casual and $39 under ABN
- Schedule Manager role - $35 per hour casual and $39 under ABN
- Combined role - $40 per hour casual (payroll) or $45 per hour under ABN
Essential requirements:
- 2 years experience in Administrative Support (for Admin Support)
- 2 years’ experience in Scheduling / Rostering (for Schedule Manager)
- Rights to work in Australia
- Own Computer and home office
- ABN for contracted position
- Proficient in both verbal and written English.
- Experience in using Office 365 Teams and One Drive.
- Strong administrative and computer skills.
- The flexibility to work off site, and to extend working hours as required.
- Willing to complete in-service training and professional development
- Current Police Check (National Police Certificate) (or willing to obtain)
- ABN + Professional Indemnity and Public Liability Insurances
- Willing to commit to the role long term
- Live within reasonable travelling distance
