About Us: Essential Nursing and Disability Services is a highly reputable NDIS (National Disability Insurance Scheme) provider dedicated to offering top-tier care to all our participants throughout Western Australia. With a commitment to delivering exceptional, world-class, person-centric disability services, we are now seeking a skilled and enthusiastic Finance Administration Officer to join our team in a Full-Time capacity.

Responsibilities: In this multifaceted role, you will be responsible for the following key duties:

Managing the expenditure budget: this includes forecasting future expenses, creating expenditure budgets and submitting them for review and ensuring that spending is within budget limits.

Preparing financial reports related to all expenditure and non-trading income: You will make periodic reports related to rent income and payments, participant groceries and shopping and other general expenditure and nontrading income.

Conducting financial transactions: You will be responsible for financial transactions related to the Capital/Office Petty cash Account and the participant groceries shopping accounts including issuing payments. You will ensure that payments are made on time and escalate any issues.

System Processes and Control: Create Shifts and Ensure Accuracy of Shift Ratios in Shift Care: You will create new shifts for new and existing participants and manage the shift ratios for all participants in Shift care, using the ROC to ensure accuracy of Invoices.

Billing and Invoicing: You will create Invoices in Shift care and export all participants’ Invoices to Xero. You will approve all Invoices and send out emails for the plan managed participants only.

Stakeholder management: Establish and maintain clear communication with participants’ Trust managers and guardians, to ensure timely onboarding agreements and consents relating to groceries and rent are developed and executed. Maintain relationships to ensure any variations are dealt with in a timely manner.

Ensuring compliance with financial regulations and laws: You must comply with all relevant economic rules and regulations in Australia and overseas. This includes ensuring that financial records are accurate and up to date.

Financial Control and Reconciliation: You will be responsible for reviewing and analysing the Participant groceries account and the Capital expenditure account. You will reconcile ledgers on a monthly basis. Document and report all issues to management for resolution.

Using accounting software (Xero) for reconciliation: this is to keep an accurate record of all internal and external business financial transactions and perform financial audits wherever necessary.

Financial Advice: Provide financial advice and support to managers on end-to-end financial related queries.

Qualifications and Requirements: To be considered for this role, you should possess the following qualifications and qualities:

Minimum of 3 years’ experience in accounts, finance or relevant role, ideally in disability or healthcare setting

Minimum of 2 years’ experience with NDIS administration including Portal claiming and processing within a disability or health care service provider (essential)

Proficient with Internet and Microsoft Offices
